The purpose of the Inventory and Shipping Coordinator is to ensure the accurate, efficient, and timely flow of materials, tools, and equipment throughout the organization by managing inventory, supporting shipping/receiving functions, and maintaining control of company assets.

WHAT YOU WILL DO

Inventory & Asset Management: 80%

  • Attend Weekly and Monthly Team meetings for process improvement, rocks and issues
  • Stock picking & checking for stock – prospective active orders (Supply chain/ Service)
  • Maintain accurate inventory levels for all stock (cables, ropes, parts) and report on write-off materials
    • Checking stock orders before sending supply chain lists
    • Order Requestions (PORS) for replenishment to purchasers
  • Organize and maintain inventory storage areas for efficiency and safety
    • Weekly (biweekly)
      • Consumable Aisle – Stock List reporting
    • Perform regular inventory counts (cycle counts and full audits)
      • Transfer inventory values in Optsy as needed
      • Work with tablet and IT to cycle count
    • Truck / Shop Inventory & Consumables
      • Monthly meeting with supply chain
      • Work with Service to cycle trucks through shop for counts and cleaning
      • Report run by supply chain, count takes place, discrepancy list reported/ saved, truck replenished on spot, extra parts taken off truck and reported on to supply chain for action
      • Consumable stock for trucks
    • Emergency Delivery or pickup runs as needed
    • Review and clean staging area - Report discrepancies and assist in investigating inventory issues.
    • Monthly (3rd week of month) , investigate all staged jobs on shelves for action / backorder status
    • Assign locations, barcodes or RFID tags to tools and equipment assets for tracking
Shipping & Receiving (Backup) - 20%
  • Receive in system, inspect, and verify incoming shipments against packing slips or purchase orders
    • Open all packages, verify against packing slips
    • Scan packing slips to appropriate WO, Department or folder
    • Organize and stage grouped jobs
    • Blanket tracking lines in Optsy & reconciling courier lines
  • Prepare outgoing shipments including packing, labeling, and arranging for transportation (Parcel, rush or LTL)
    • Retain quotes from carriers or couriers where applicable
    • Ensure proper documentation of all shipments (inbound and outbound)
    • Working with custom brokers for cross-border shipments
  • Load and unload materials using forklifts, pallet jacks, or other warehouse equipment
  • Coordinate with internal departments on material delivery timelines
    • Coordinate with service, supply only and project management logistics for budgetary purposes on respective shipment needs
Safety Specific
  • Ensure compliance with all Occupational Health and Safety Act (OHSA) regulations and company safety policies and procedures
  • Adhere to the use of Personal Protective Equipment (PPE) as required for the role
  • Participate in safety training, including regular emergency drills
  • Follow all guidelines for the safe operation of tools, machinery, and vehicles
  • Report all incidents, accidents, and near misses immediately
  • Actively look for and report potential hazards in the workplace
  • Maintain a clean and organized work environment, free of potential hazards
  • Practice proper ergonomics to prevent strain injuries
  • Adhere to office safety procedures, including emergency evacuation routes, fire drills, and building safety protocols

WHAT YOU NEED
  • Valid forklift licence (or willingness to obtain)
  • Physically capable of lifting up to 50 lbs and standing for extended periods
  • Valid driver’s licence in good standing
  • Moderate to intermediate computer proficiency (e.g., inventory systems, MS Office, email)
  • Strong attention to detail and accuracy in all tasks
  • Ability to work independently with minimal supervision in a fast-paced environment
  • Demonstrated commitment to excellent internal and external customer service
  • Strong planning, problem-solving, and critical thinking skills
  • Ability to handle confidential information with professionalism and discretion
