Position Summary

Edmonton Exchanger provides a wide range of products and services for the oil and gas, petrochemical, and power generation industries. We specialize in the fabrication of pressure vessel components, heat exchangers, custom steel products, and pipe spools. In addition, we provide shutdown and full-scale maintenance services for refineries and petrochemical plants.

We are seeking a Field Payroll Coordinator to join our payroll team and work alongside our Field Payroll Supervisor in managing accurate and timely payroll for up to 1 field employee.

This role plays a key part in ensuring payroll runs smoothly, particularly during peak workload periods, and will provide full coverage when the Field Payroll Supervisor is away. The ideal candidate will have hands-on experience with UKG payroll systems, a strong eye for detail, and the ability to thrive in a fast-paced environment. In addition to payroll processing, this role will help maintain up-to-date employee records and assist with onboarding and termination processes for our field workforce.

Key Responsibilities

Payroll Processing

  • Assist with end-to-end processing of Field payroll using UKG, ensuring compliance with company policies, employment standards, and collective agreements.
  • Review weekly field time entry reports for accuracy; resolve any discrepancies with timekeepers.
  • Process and approve timesheets to ensure employees are paid accurately and on time.
  • Prepare and submit Records of Employment as required.

Union and Compliance

  • Support the preparation and submission of monthly union dues remittances.
  • Ensure payroll processes meet regulatory and collective agreement requirements.

Employee Records & HR Support

  • Maintain accurate and up-to-date employee files, including personal information, employment documents, training records, and certifications.
  • Ensure all records are securely stored and handled in compliance with privacy requirements.
  • Assist with the processing of new hires, including onboarding documentation, system setup, and initial payroll entry.
  • Assist with termination processing.
  • Track and update employee changes such as status, position, and rate adjustments.

Reporting and Year-End Activities

  • Prepare payroll reports and summaries for internal use, clients, and audit purposes.
  • Assist with T4 reconciliation and year-end processing.

Coverage and Team Support

  • Assume Field Payroll Supervisor responsibilities during vacations or absences.
  • Collaborate with the payroll team to streamline processes and improve efficiency.

Qualifications

  • Experience with UKG Payroll systems is highly preferred and will be considered a strong asset.
  • 3+ years of payroll experience, preferably in a high-volume, unionized environment.
  • Strong understanding of payroll regulations, employment standards, and collective agreements.
  • Experience maintaining accurate and compliant employee records.
  • Experience supporting onboarding and termination processes.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills and the ability to work with multiple stakeholders.
  • PCP (Payroll Compliance Practitioner) certification or equivalent is an asset.

Working Conditions

  • Office-based position with busy periods during peak field operations.
  • 37.5-hour standard week
