Description

Working with a high degree of independence and autonomy under the general direction of the Vice-President & Principal, the Executive Assistant reports to the Director, Office of the Vice-President & Principal, and is responsible for providing a broad range of senior level administrative support and guidance to the Vice-President & Principal. The Executive Assistant is responsible for providing guidance and maintaining workflow while providing a broad range of highly confidential and complex administrative duties with a high degree of accountability. The Executive Assistant relieves the Vice-President & Principal of operational and administrative details, and performs administrative functions that require a thorough knowledge of University governance, policies, procedures, and operations as well as an understanding of the University’s role within the community.

The incumbent exercises initiative and independent judgment in managing the Vice-President & Principal’s schedule and the office’s daily administrative activities. The incumbent will interact on a regular basis with faculty, staff, students, alumni, and senior officials within and outside of University of Toronto Mississauga (UTM) and University of Toronto (U of T), in addition to members of the community, community partners, and the media, and will use discretion in the dissemination of information, and implement priorities to enhance the effectiveness and image of the office, the campus, and the institution as a whole.

Qualifications

Education:

University degree or equivalent combination of education and experience.

Experience:

Minimum five years of senior and/or executive administrative and support experience, preferably in a post-secondary educational institution. Demonstrated experience liaising with senior academic administrators, responding to and handling matters of a complex, confidential and sensitive nature and working in a fast-paced work environment.

Skills:

Ability to use a range of office computer technology and software to meet the needs of the unit, such as Microsoft Word, Excel, PowerPoint, SharePoint, OneDrive, Concur, Financial Information System (FIS), various scheduling software products.

Other:

Professional demeanor with excellent oral and written communication and interpersonal skills. Demonstrated ability to maintain strict confidentiality. Superior organizational and time management skills in planning, executing and completing tasks in relation to work priorities. High degree of political acuity and the ability to maintain a high degree of professionalism with various levels of internal University employees and all external contacts in a manner which engenders support and cooperation. Demonstrated ability to exercise initiative, discretion, tact, judgment and diplomacy. Ability to work well under pressure and to balance the competing demands of routine work with the requirements of new priorities. Ability to pay attention to detail as well as maintain a broad perspective.
