Overview
Executive Assistant to the Chief Financial & Operating Officer (CFOO) and Project Coordinator to the Executive Director of Strategy & Innovation (EDSI) at Ridley College. This is a hybrid role supporting Finance & Operations and Strategy & Innovation, combining executive support, governance coordination, strategic project management, and stakeholder liaison.
Location: 2 Ridley Road, St. Catharines, ON, L2R 7C3. Salary: $36 per hour. Overtime: 40 hours; overtime rate $54 per hour. Hours: 8:30 am – 4:30 pm, Monday to Friday. Permanent employment. Vacation: 3 weeks of paid vacation plus 1 week of paid shutdown at Christmas.

Role Overview
This hybrid role directly supports the CFOO and EDSI across Finance & Operations and Strategy & Innovation. You will provide executive support, governance coordination, strategic project management, and stakeholder liaison to ensure leadership teams receive well-prepared reports, agendas and documentation, and that strategic and operational initiatives are coordinated across the school. You will help ensure information flows between departments, keep initiatives on track, and provide leadership with the materials needed to make decisions.
Duties
- Executive and administrative support, governance coordination, strategic project management, and stakeholder liaison for the CFOO and EDSI
- Conduct research, analyze and gather data to support the preparation of reports, proposals, and presentations for executive and board consideration
- Review, evaluate and implement administrative procedures and guidelines to support senior leadership, committees, and the Trustee Board
- Review, assess, and synthesize incoming and outgoing correspondence, reports, and submissions
- Coordinate the drafting and delivery of executive summaries, briefing notes, and reports for senior management, committees, and the Corporate Trustee
- Organize and coordinate meetings of committees and leadership groups, including agendas, documentation, minutes, and records
- Serve as a liaison between senior leadership, department heads, and external organizations
- Research best practices and systems with other educational institutions to inform school initiatives
- Collect, analyze, and present data from school-wide surveys to inform leadership decision-making and planning
- Provide high-level client and stakeholder service on behalf of executives, including addressing inquiries and liaising with partners and suppliers
- Occasionally arrange travel and related itineraries
- Prepare invoices, reports, memos, letters, financial statements, and administer contracts and documents
- Type and proofread correspondence and other documents
Requirements
- Bachelor’s degree in business or public administration or related education
- A certification or degree in sustainable management, or in business administration with a focus on international business, leadership, and strategic decision-making is an asset
- Minimum 3 years of related administrative or project coordination experience at the executive level
- Knowledge of administrative procedures, processes, and protocols for an executive office
- Knowledge of and ability to apply advanced project management principles
- Demonstrated proficiency with Microsoft Office applications and database management
- Strong organizational skills and attention to detail
- Strong leadership and professional ethics with ability to handle sensitive information
- Ability to analyze processes and implement improvements; prioritize and manage conflicting demands
- Ability to research, analyze and summarize information and prepare summary reports
- Ability to interpret and implement policies and procedures
- Ability to work in a fast-paced environment with tight deadlines and a large workload
- Excellent interpersonal, client service and communication skills for working with executives, staff and external stakeholders
- Superior business writing and report writing skills in English
- Ability to build rapport with project stakeholders
- As a condition of employment, a satisfactory Vulnerable Persons Screening Report must be provided
