This role performs a variety of administrative and clerical tasks, including financial and human resources administration, and provides professional support to Managers and their teams. The position ensures all administrative and operational processes and control standards are followed, while seeking opportunities for improvement to contribute to the efficient operation of the business group.

  • Provides expertise and advice on strategic initiatives and manages relationships related to these initiatives.
  • Manages A&D applications and software systems, collaborating with Risk and Compliance to ensure vendor attestations are completed.
  • Facilitates project-specific tasks, including coordinating presentations, developing marketing materials, and assisting with geology map production.
  • Builds effective relationships with internal and external stakeholders.
  • Analyzes data, breaks down strategic problems, and provides insights and recommendations.
  • Prepares regular and ad-hoc reports and dashboards.
  • Leads planning and coordination of department events.
  • Provides senior administrative support within a diverse team, including senior executives.
  • Uses systems to manage information efficiently.
  • Integrates data from multiple sources to streamline processes and reporting.
  • Contributes to administrative program planning and implementation.
  • Monitors budgets and reports on financial results.
  • Mentors junior administrative staff to develop their capabilities.
  • Manages calendars, schedules meetings, books resources, and supports event coordination.
  • Maintains filing systems and ensures documentation is accessible.
  • Supports communication development, including writing and editing.
  • Handles outgoing communications, responds to inquiries, and escalates issues as needed.
  • Processes invoices and expense claims, tracking expenses within budget.
  • Arranges travel and liaises with vendors and internal teams on premises and office needs.
  • Maintains supplies inventory and manages scheduling for vacations and absences.
  • Coordinates training and collaborates with stakeholders to meet business objectives.
  • Organizes work information for accuracy and completeness.
  • Focus may be on specific business groups; exercises judgment and works independently.

Qualifications :

  • Typically 7+ years of relevant experience in an administrative/support role, with a post-secondary degree in a related field.
  • Knowledge gained through education and/or business experience.

Base Pay Range

The salary range for this role in Calgary is $64,000.00 - $80,000.00 CAD, depending on skills, experience, education, and qualifications.
