Job description

Reporting directly to the Chief Technology Officer (CTO), the Executive Assistant (EA) will provide high-level administrative and strategic support to both the CTO and VP of Product Management. This role serves as the primary point of contact for internal and external stakeholders on matters pertaining to Product and Engineering, acting as a liaison between these executives and other departments, clients, partners, and the Executive Leadership Team (ELT). The EA will help ensure seamless coordination of day-to-day operations, facilitate communication, and support special initiatives related to technology, innovation, and product development.

A successful candidate will bring exceptional organizational, communication, and decision-making skills to a fast-paced and high-impact environment. They must be able to operate independently, maintain a high level of confidentiality, and demonstrate sound judgment and strategic thinking.

What You’ll Do:

  • Provide proactive administrative support to the CTO and VP of Product Management, including managing complex calendars, travel planning, expense reporting, and correspondence.
  • Assist with expense reporting for VPs in Engineering and Product Management.
  • Coordinate meetings and strategic engagements, including agendas, logistics, and materials preparation, across Engineering and Product.
  • Serve as a trusted liaison and point of contact for internal teams, clients, vendors, and partners on behalf of the CTO and VP of Product Management.
  • Monitor, prioritize, and respond to communications and inquiries directed to the CTO.
  • Support recurring meetings with the leadership teams and across Product and Engineering.
  • Prepare and edit high-quality written and presentation materials, including briefing documents, reports, and executive-level slide decks.
  • Lead and support special projects as needed, including offsite meeting coordination.
  • Assist in coordinating Engineering and Product initiatives, ensuring alignment and timely execution of cross-functional deliverables.
  • Manage logistics for internal events or external engagements (e.g., conferences, client presentations) involving the CTO or VP of Product Management. Maintain strict confidentiality and professionalism when handling sensitive information.

What You'll Bring:

  • Bachelor’s degree or equivalent professional experience in executive support, operations, or project coordination.
  • 10+ years of administrative experience, with 6–8 years supporting senior executives (CTO, CPO, or similar roles preferred).
  • Mastery of Microsoft O365 and collaboration tools (e.g., Teams, OneNote, Excel, PowerPoint) and familiarity with AI tools (e.g., ChatGPT).
  • Exceptional organizational and time management skills with meticulous attention to detail.
  • Comfortable working in a fast-paced environment with shifting priorities and occasional off-hours availability.
  • Strong written and verbal communication skills with a polished, executive-ready demeanor.
  • Discretion and integrity in handling confidential and sensitive matters.
  • Proactive, self-starting attitude with a service mindset and the ability to anticipate needs.

Candidates based in Toronto, Ottawa, or Montreal metro areas preferred.
