Events Coordinator – Part Time

Reporting to the Manager of Events, the Events Coordinator will be responsible for working collaboratively across the organization to lead signature and community events in support of Easter Seals Alberta, to reach revenue targets and to meet the demand of supports for our clients.

Responsibilities
Event Coordination & Logistics
  • Organize and execute assigned Easter Seals Alberta events by coordinating all logistical components, including venue selection, vendor coordination, catering arrangements, technology setup, staffing, etc.
  • Maintain detailed timelines and production schedules to ensure seamless execution of each event.
  • Oversee event setup and guest experience, troubleshoot issues promptly, and ensure exceptional customer service throughout the event.
  • Conduct post-event evaluations and maintain detailed records for reporting and continuous improvement.
Sponsorship Support
  • Assist in securing cash, in-kind sponsorships, donations and coordinate sponsor benefits and deliverables.
  • Ensure fulfillment of agreements and provide post-event stewardship.
  • Maintain accurate records of sponsorship activities and communications.
External Events Support
  • Act as the primary point of contact for clients before, during, and after events.
  • Coordinate cross-departmental communication to ensure smooth event execution, including space, food and beverage, and logistical requirements.
  • Arrange and implement camp tours to showcase our Camp Horizon venues and support sales efforts.
  • Support the identification and develop new event opportunities that showcase our Camp Horizon venues as a premier location.
  • Build relationships with corporate partners, vendors, and community organizations to increase event bookings.
  • Develop proposals and pitch ideas to attract new clients and partnerships.

In addition, this role will coordinate camp work crews and volunteer projects and serve as the on-site liaison to provide tours and impact storytelling. As a part of this role, the Coordinator will support third-party fundraising and collaborate with the marketing department to promote initiatives and drive engagement.

Qualifications
  • Diploma or certificate in Event Management, Marketing, or related field.
  • 1–3 years of experience in event coordination or fundraising.

  • Excellent communication and customer service abilities.

Part-Time: $25/hour, 20 hours/week

Schedule
  • Normal schedule will be Monday to Thursday 5 hours each day.
  • In the weeks with events on the weekend the schedule would be as follows:
    • Wed: 4h
    • Fri: 4h (weekend)
    • Sat: 8h (weekend)
    • Sun: 4h (weekend) Total: 20h

Requires on-site attendance at Camp Horizon and in-office work. On-call will be required during events.
