Position Overview

InspirED Convention and Christian Educators of British Columbia (CEBC), along with Northwest Christian Schools International (NWCSI) is seeking to hire an Event Coordinator who will collaborate closely with the InspirED Director to plan, organize, and deliver an annual Christian educators conference. This is a contract position and is grounded in InspirED’s Core Purpose— to create a community that inspires and empowers growth —and guided by our Core Values, which shape every aspect of the conference experience. The Event Planner will ensure that each element of the conference—logistics, design, and hospitality—reflects these values and contributes to a Christ-centered, high-quality experience that inspires all who participate.

Key Responsibilities
  • Partner with and report to the InspirED Director to coordinate the venue and catering.
  • Be the go-to person when communicating with the venue.
  • Work collaboratively with the InspirED Convention Planning Committee and CEBC to design a professional, faith-enriching, and community-building event environment.
  • Supervise day‑of on‑site coordination of event setup, technical needs, and problem‑solving.
  • Participate in post‑event evaluations to strengthen future events.
  • Take the lead with conference exhibitors.

  • Experience in event planning, conference coordination, or project management.

  • Willingness to be flexible regarding event location, schedule, and planning needs, including the ability to travel within British Columbia and Washington State.

Compensation and Hours

$27 – 30 / hour, based on experience

Expect to work approximately 320-400 hours per year, with our busy months of planning in September through November, but other work and planning are done throughout the year.

Must be able to work November 9-13, 2026

InspirED Event Coordinator Duties and Responsibilities
Venue and Logistics Coordination
  • Work with the InspirED Convention venue to secure all required venue bookings, including main session spaces, breakout rooms, and hospitality areas.
  • Serve as the primary liaison with venue staff, ensuring clear communication and coordination on all logistical details.
  • Collaborate with the venue’s Catering Department to select menus, accommodate dietary needs, confirm meal and refreshment schedules, and on‑site placement.
  • Develop and maintain detailed venue layouts, ensuring that room setups meet the needs of presenters, exhibitors, and participants.
  • Oversee audiovisual and technical setup in coordination with venue staff and contracted technicians.
  • Collaborate with the InspirED Director and CEBC bookkeeper to ensure invoices and payments relating to the venue and exhibitors are taken care of.
Program and Workshop Coordination
  • Determine room assignments for the day of the event.
  • Coordinate setup requirements with workshop leaders, ensuring materials, AV needs, and room configurations are ready in advance.
  • Maintain a master schedule of all sessions, meals, and activities to ensure smooth flow throughout the event.
Exhibitor and Vendor Relations
  • Take the lead in identifying and inviting appropriate exhibitors that align with InspirED’s mission and audience.
  • Manage all exhibitor logistics, including contracts, booth assignments, setup instructions, and day‑of support.
  • Ensure exhibitor experiences are professional, welcoming, and integrated into the event’s overall tone and design.
Event Design and Hospitality
  • Support the Planning Committee in decisions regarding décor, signage, registration setup, and attendee experience.
  • Help organize and oversee hospitality services, including volunteer coordination, registration, and participant support.
  • Provide assistance by putting up signage the day before the event.
On‑Site Event Management
  • Supervise day‑of operations, including setup, registration, technical needs, catering coordination, and problem‑solving.
  • Serve as a point of contact for venue staff, volunteers, and exhibitors to ensure the event runs smoothly and efficiently.
  • Ensure all participants, presenters, and vendors feel supported throughout the event.
