Position Overview

Office of MP Evan Solomon (Toronto Centre)

Reporting to the Constituency Director, the Constituency Casework and Administrative Assistant provides constituency casework and administrative support in the Toronto Centre Constituency Office. Approximately 60% of the role is dedicated to constituency casework and 40% to administrative support. The position is essential to ensuring high-quality service to constituents while supporting the effective and efficient operation of the Member’s office.

Work Environment

The position is based full-time in the constituency office, located at 409 Parliament Street, and requires in-office attendance five days per week. Travel may be required. Occasional long hours and some evenings or weekends may be required.

Key Responsibilities
Constituency Casework (60%)
  • Serves as the first point of contact for constituents on all issues and incoming casework (e.g., immigration, Canada Revenue Agency, Old Age Security), providing information, advice, and support in person, by phone, and in writing.
  • Communicates with government departments and agencies on behalf of constituents to gather information, follow up on national programs, and seek resolutions to individual cases, ensuring timely updates and communication throughout the process.
  • Manages all case files with sensitivity, confidentiality, and attention to deadlines, maintaining a high standard of service and professionalism.
  • Develops and maintains effective systems to track constituent requests, monitor progress, and manage file distribution within the office.
  • Responds to constituent emails, letters, and phone calls related to casework in a clear, respectful, and timely manner.
Administrative Assistance (40%)
  • Screen telephone calls and general inquiries, direct callers appropriately and take comprehensive messages.
  • Review, format and edit correspondence, reports, memos, presentations and other documents to ensure accuracy, consistency and compliance with House of Commons standards.
  • Provide administrative and business support to the Member and office staff to ensure efficient day-to-day operations.
  • Support outreach activities, events and special projects that enhance office effectiveness.
  • Perform other related duties as assigned, including data entry.
Qualifications
  • Highly organized and efficient, with sound judgment and the ability to independently manage multiple priorities and tight deadlines in a fast-paced, high-pressure environment.
  • Demonstrated analytical and problem-solving skills, with the ability to exercise discretion, tact, and diplomacy when handling sensitive and confidential matters.
  • Strong written and verbal communication skills.
  • High proficiency with technology tools, including Microsoft Office (Word, Excel, PowerPoint, Outlook) and CRM platforms.
  • Experience providing constituency casework and administrative support in a political and/or professional office environment.
  • Knowledge of the Canadian parliamentary system and federal government programs is considered an asset.
Education
  • Post‑secondary education from a recognized institution, or an acceptable combination of education, training and relevant experience.
