Job Description
Position Summary
The Christmas Coordinator provides support to The Salvation Army Victoria Citadel & Next Steps Resource Centre, with Christmas Campaigns. The successful candidate is responsible for oversight of several Christmas Kettle locations in the Victoria CRD. They organize, direct, and supervise the work performed by Christmas Kettle Workers and Volunteers.
Accountabilities
KETTLE CAMPAIGN
- Oversee the operations of the Christmas Kettle campaign.
- Promote, coordinate, and oversee the activities of Christmas Kettle Campaign Worker staff and/or volunteers.
- Maintain accurate records of worker’s/volunteer’s information.
- Orientation and performance management of kettle worker staff and/or volunteers.
- Coordinate the schedule for kettle staff and/or volunteers and respond to emergency absences, etc.
- Coordinate the delivery and pick-up of kettles to/from sites daily, ensuring the security of donations.
- Coordinate replacement teams for standalone tip-taps.
- May deliver and pick-up kettles in an emergency situation.
- Host at a kettle as required, ensuring necessary coverage for breaks, etc.
- Ensure that kettle locations have adequate supplies.
- Record statistical data and prepare weekly time sheets as required.
- Ensure all Kettle donations are delivered to secure location at shift completion.
- Assist in counting kettle income as needed.
- Communicate regularly with supervisor regarding day-to-day campaign challenges and operations
- Visit locations during shift changes and intermittently.
- Ensure timesheets and mileage reports are submitted accurately and timely (weekly basis).
- Respond to questions/queries from potential donors regarding SA ministries and programs.
- In conjunction with supervisor, manage campaign related social media.
- In conjunction with supervisor, ensure information relating to available shifts and fund-raising updates are communicated via volunteer management system daily.
- Assist in the coordination of the Christmas Kettle Campaign launch.
- Will participate in recruitment and training of kettle worker staff and/or volunteers, including connecting with schools, local businesses and community groups.
- Foster and maintain positive working relationships with kettle sites.
- Organize retrieval of all equipment/supplies from various kettle locations.
- Arrange volunteer/kettle location appreciation certificates for distribution.
- Ensure all necessary tip-tap equipment is returned following instructions for TipTap.
- Assists with other ministry unit Christmas functions.
- Perform other position related duties as required.

- Internal: TSA staff members, Kettle campaign team
- External: Community members
MANAGERIAL RESPONSIBILITY
- Reports directly to Corps Officer(s).
- Direct reports: Workflow coordinator for Christmas Kettle Workers and Volunteers.
FINANCIAL AND MATERIALS MANAGEMENT
- Collect donations and petite cash and ensure donations are always kept secure.
WORKING CONDITIONS
- This is a temporary position.
- Shifts may include days, afternoons, evenings, weekend shifts, and split shifts, Monday through Saturday. Applicable shifts include a ½ hour unpaid meal break.
- Flexibility in scheduling is required, as the hours may increase as per operational requirements.
- Work environment is typically in office with occasional work in malls/stores.
- Standing for long periods may be required and exposure to cold weather.
- Required to wear appropriate Salvation Army identification.
- Local travel is associated with this position.

Education, Qualifications and Certifications
- Grade 12 diploma
- Post-secondary experience may be an asset
- A First Aid Certificate is an asset
Experience and Skilled Knowledge Requirements
- Prior related Christmas Kettle and Hamper experience would be an asset.
- Previous fundraising and supervisory experience
- Experience working with and leading volunteers
- Money handling experience is an asset
Skills and Capabilities
- Valid Driver’s License, personal vehicle and insurance, current copy of driver’s abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.
- Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.
- Strong communication and interpersonal skills
- High standards of integrity, judgment and confidentiality
- Strong decision-making, organizational skills and a strong team player
- General office skills and experience, familiar in using various office equipment
- Proficiency on various computer programs; Microsoft Word, Excel, Database
- Ability to work in a fast-paced environment, meeting deadlines and targets
- Agreeable to a flexible non-routine schedule and willing to use a personal vehicle for business purposes
- Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures
- Ability to lift/move 10-12 kgs (20-25lbs)
Compensation
The target hiring range for this position is $17.85 to $21.66 with a maximum of $25.99. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
