CASUAL SCHOOL SECRETARY

Cape Breton-Victoria Regional Centre for Education is responsible for the administration of the public school system within the boundaries of Cape Breton and Victoria Counties, supporting approximately 12,000 students in 38 schools.

WORK TERM: Casual on‑call basis
LOCATION: Various schools North of Smokey within the Cape Breton Victoria Regional Centre for Education.
RATE OF PAY: $31.48 per hour

MINIMUM REQUIRED QUALIFICATIONS
  • Diploma from a secretarial training institution.
  • A minimum of one year secretarial experience would be considered an asset.
  • Experience and proficiency with typing, word processing, databases and spreadsheet programs is required.
  • Experience with Google Apps for Education and the Microsoft suite of products would be considered an asset.
  • Applicants should be innovative and creative with respect to utilizing technology.
  • Strong interpersonal and communication skills.

A competency test will be required for all applicants.

POSITION DESCRIPTION

RESPONSIBLE TO: Principal or Principal's Designate of school of employment
ROLE: To provide reception, secretarial and accounting services to schools

RESPONSIBILITIES
  • Perform reception duties which include answering the telephone, greeting visitors and the general public, handling staff, student and public inquiries; presenting a positive image of the school when dealing with students, teachers and the general public.
  • Type all school correspondence, reports and documentation, prepare all correspondence and sort and distribute incoming mail.
  • Handle money from global school funds and student funds and keep accurate accounts and banking for the same in accordance with generally accepted accounting procedures.
  • Record and submit absences and attendances for employees at their site.
  • Input and access information from the student information system under the direction of school administration and generate related reports and documentation as required.
  • Compile reports and statistics as required by the principal, school board office and the Department of Education.
  • Compile bulk orders for school needs and assist in the preparation of ordering including school book bureau orders.
  • Other related duties as assigned.
