JOB TITLE: Associate, Payroll & Pension

DEPARTMENT: Corporate Support Services

Area of Responsibility

Reporting to the Supervisor, Payroll, responsible to support the Corporation’s payroll processing and pension administration programs. Provide assistance in set-up, maintenance, calculation, and analysis of payroll and pension-related processes and systems.

  • Processes Payrolls using HCM (PeopleSoft) for various paygroups. Balances and reconciles payroll; reviews, verifies, and adjusts time entry reports and codes as needed based on Corporate Policy, Canada Revenue Agency and all Collective Agreements.
  • Calculates and prepares manual payments and off-cycle adjustments.
  • Sets up all new permanent full time and eligible other than continuous full time employees in OMERS e-access.
  • Assists the Pension Administrator with the processing of the year-end annual pension statements. Ensures all the members information has been balanced and accounted for, file uploaded and formatted to meet OMERS specifications. Coordinates with OMERS to sort out issues in a timely manner.
  • Assists in offering eligible other than continuous full time employees OMERS. Reviews eligibility criteria, sends out letters, and processes OMERS enrollment.
  • Assists with the processing of required forms and documentation for all OMERS members.
  • Assists with extracting, analyzing and calculating periods of broken service and disability elimination periods based on prescribed formulas.
  • Prepares weekly and monthly contribution and remittances cheque requisitions. Runs off payroll reports, and prepares remittance cheque requests. Prepares monthly summary of United Way and OMERS contributions and runs queries for balancing. Prepares a monthly summary of Group Life, LTD, Optional Life, and Dependent Life and for AD&D for all Payroll Groups.
  • Maintains employee benefit and payroll records within PeopleSoft and OMERS E-access. Sets up and maintains Benefit and Payroll Information on Peoplesoft and file folders, and files relevant information.
  • Prepares Record of Employments (ROE) forms. Prints copies of ROE and validates information.
  • Provides exemplary customer service. Answers queries and communicates with members, union representatives, HR and outside agencies re employee information, administration procedures, or interpretation of plan provisions. Drafts and distributes correspondences for employee requests related to RRSP transfers, OMERS purchase, and disability elimination periods.
  • Maintains Payroll/OMERS records using Versatile/BRIMMS Systems.
  • Stuffs, seals and sorts pay statements for all payroll groups. Creates new files for new employees.
Selection Criteria

EDUCATION:

  • High school (Grade 12) graduation plus an additional program of over one year and up to two years in Business Administration, Business Management, Accounting or equivalent

EXPERIENCE:

  • Over two year (2) up to and including four (4) years experience in a unionized payroll and pension environment.

REQUIRED LICENCE OR CERTIFICATION:

  • Completion of the Canadian Payroll Association-Payroll Compliance Practitioner (PCP) certificate.

OTHER SKILLS AND ASSETS:

  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Ability to work independently and as part of a team environment.
  • Advanced knowledge of MS Office.
  • Sound judgment, good decision making and analytical skills.
  • Strong organizational skills and attention to details.
  • Able to lift heavy storage boxes (weight varies from 20 to 50 pounds).
