Overview

Medicine Hat Public School Division (MHPSD) is seeking a friendly, organized, and detail-oriented Administrative Assistant – Technology Services to join our Central Office team. This office-based position supports the Technology Services team by coordinating essential administrative functions and helping ensure day-to-day operations run smoothly across the Division.

This position is ideal for someone who enjoys supporting a busy team through strong organization, accurate paperwork, and great customer service. The work focuses on purchasing and documentation workflows, scheduling and meeting coordination, record keeping, and tracking inventory and renewals. It is an administrative role—technical troubleshooting is not the focus—and technical issues are escalated to appropriate IT staff or vendors, with training provided for the department tools you\'ll use.

What You\'ll Be Doing

You\'ll provide administrative and coordination support to the Technology Services team to help keep day-to-day operations running smoothly across the Division.

Key Responsibilities Include
  • Supporting the Technology Services team with day-to-day administrative needs
  • Handling purchasing and paperwork workflows (purchase orders, invoices, budget tracking/coding)
  • Tracking inventory and assets, plus renewal dates for contracts and services
  • Managing Technology Services credit card allocations and records
  • Coordinating meetings, preparing materials, and supporting follow-up actions
  • Maintaining organized filing systems and accurate documentation
  • Managing Division Government of Alberta (GoA) cellphone accounts
  • Maintaining administrative records and basic settings in department tools used for print services and service requests (training provided), and escalating technical issues to IT staff or vendors as needed (e.g., Xerox/Laser Networks, PaperCut, SysAid)
  • Performing other duties as assigned, including ad hoc tasks and projects within your capabilities
What We\'re Looking For

You\'re someone who brings strong administrative skills and enjoys working in a busy office environment. You\'ll be successful in this role if you have:

  • Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams) and comfort building/maintaining spreadsheets for tracking budgets, inventory, and renewals
  • Experience with purchasing and payables workflows (POs, receiving, invoice processing, coding/allocations, reconciliation)
  • Strong document control skills (filing practices, meeting records, agendas/minutes/action items)
  • Experience coordinating vendors/service providers, including requesting quotes, tracking deliveries, and following up as needed
  • A collaborative, service-oriented approach with strong organization, multitasking, and attention to detail
  • Ability to manage competing priorities and time-sensitive requests in a high-pressure environment
