Overview

Role Impact : To support a number of management staff in administrative tasks such as preparing and distributing documentation and reports, answering telephones, scheduling appointments and meetings, making travel arrangements, and prioritizing workload. This ensures management have the materials required to operate their specific areas of the business with accuracy and timeliness.

This is a 12-month contract role with a Monday to Friday schedule and is eligible to participate in our comprehensive core benefits package including medical and dental benefits.

What you will deliver
  • Prepare written documentation such as correspondence, reports, statements, and agreements in a timely and accurate manner.
  • Coordinate meetings by ensuring participants have all information and materials required; liaise with manager to gather relevant information, schedule meeting times, book meeting rooms, prepare meeting materials, and arrange audio-visual equipment, flip charts, refreshments, etc.
  • Process department mail and couriers daily by receiving, opening, sorting and distributing; arrange for same-day or overnight courier as required to ensure timely distribution of department correspondence.
  • Organize and maintain department filing system to ensure materials are securely and accurately filed for easy retrieval.
  • Supervise and maintain departmental office supplies by checking storage, reviewing requests, and ordering items to ensure tools and equipment are available.
  • Provide courteous, professional, and efficient service to internal and external clients by responding to information requests and directing inquiries beyond own scope of expertise as needed.
  • Reception duties include handling all incoming calls, group bookings, and visitors to the property in a timely, friendly, and professional manner.
  • Recommend and implement enhancements to procedures to improve operational effectiveness.
  • Other duties as assigned.

What you need to succeed
  • Grade 12 or equivalent
  • Certificate/diploma in Office Administration an asset
  • Minimum 3 to 5 years related work experience
  • Real Estate / Property management experience an asset
  • Fully proficient in Microsoft Word, Excel, and PowerPoint
  • Proven organizational and prioritizing skills
  • Strong research and analytical skills

Starting base salary for this job level may range from $40,112.00 - $53,483.00. The actual base salary offered will consider factors including role experiences, skills & qualifications, location, market, and internal considerations; with this context CF reserves the right to pay above this range.
