Job description

Keewatin-Aski Ltd. is an engineering and architectural office that has been practicing in Sioux Lookout and all over Northwestern Ontario for over 40 years. We are seeking an ambitious administrative assistant to join our team.

Key Responsibilities:

  • Clerical Support: Office reception, processing mail, monitoring general office email
  • Scheduling and Coordination: Maintaining office meeting calendars and events. Monitoring MERX and Biddingo online platforms for potential projects. Managing security clearances for staff and sub-consultants
  • Record Management: Maintaining invoicing spreadsheets and databases, employee time/data entry, preparing draft and final invoices for project managers.
  • Communication:Drafting correspondence, emails, and reports.
  • Project Support: Assisting with project management tasks, tracking deadlines, and facilitating communication.
  • General Office Support:Ordering supplies, managing office equipment as well as handling travel arrangements and charter bookings, including other duties as assigned

Skills Required:

  • Organizational Skills: Being able to manage multiple tasks and keep track of deadlines.
  • Communication Skills: Strong verbal and written communication skills for interacting with staff and clients.
  • Computer Proficiency: Familiarity with office software (Word, Excel,) Proficiency in Quickbooks and accounting knowledge would be an asset.
  • Problem-Solving Skills: Being able to address issues and find solutions.
  • Time Management: Prioritizing tasks and working efficiently.
  • Customer Service Skills:Providing helpful and courteous assistance.
