About the role: Administrative Assistant

Reporting to the Senior Vice President, Legal Affairs, you will play a key role in supporting the daily operations of the Legal Affairs department. You will be responsible for managing administrative files, preparing and reviewing documents, tracking important deadlines, and ensuring the overall efficiency and organization of the department. This role requires exceptional attention to detail and strong organizational skills as you handle tasks such as document filing, calendar coordination, and stakeholder follow-ups. You will support the SVP, Legal Affairs with ongoing administrative duties, contributing to smooth legal operations and reliable document management.

Responsibilities

In this position, you will oversee day-to-day management of administrative files within the Legal Affairs team, ensuring electronic file databases are up to date. You will draft, edit, and format documents including letters and presentations, and conduct basic research to assist in legal file preparation. You will coordinate and schedule meetings, manage the lawyer’s calendar and email communications, and follow up with internal and external stakeholders to collect required signatures. You will also oversee the invoice approval and payment process and assist paralegals with permit and license renewals, maintaining a high level of time management and independence.
