Job Description
- Coordinate the flow of information within the team
- Direct and control daily operations
- Plan and control budget and expenditures
- Train staff
- Record and prepare minutes of meetings
- Determine and establish office procedures and routines
- Oversee the classification and rating of occupations
- Schedule and confirm appointments
- Answer telephone and relay telephone calls and messages
- Oversee the analysis of employee data and information
- Answer electronic enquiries
- Compile data, statistics and other information
- Oversee the preparation of reports
- Respond to employee questions and complaints
- Order office supplies and maintain inventory
- Arrange travel, related itineraries and make reservations
- Set up and maintain manual and computerized information filing systems
- Type and proofread correspondence, forms and other documents
- Perform data entry
- Maintain and manage digital database
- Perform basic bookkeeping tasks
- Drive to company’s PO box to collect correspondence
- Drive to pick up material and office supplies
- Drive and attend to site meetings
Qualifications
- Education: Completion of high school is required.
- Experience: At least 6 months of previous clerical experience is required. If less than 6 months, completion of a one- or two-year college or other program for administrative assistants or secretaries is required.
- A valid driver’s license (class G) is required.
- Computer and technology knowledge: Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, Adobe Photoshop, MS Project, Project management software, MS Office, QuickBooks, Adobe Acrobat Reader.
- Working Conditions and Physical Capabilities: Ability to work independently, fast-paced environment, work under pressure, tight deadlines, attention to detail, repetitive tasks, large workload.
- Personal suitability: Multitasking, excellent oral and written communication, flexibility, judgement, organized, team player, accurate, client focus, reliability, time management, accountability, dependability.
- Language: English is required.
Compensation and Benefits
- Salary: $25.56 hourly, 42.5 hours per week.

Important Information
Flexibility in schedule is required. The work schedule will be Monday to Friday from 8:00 AM to 5:00 PM. Overtime, work on weekends and holidays may be required depending on the business needs.
