Overview

ADMINISTRATIVE & DIGITAL COORDINATOR

Reports to: Director-General, NABA/Head of Secretariat, WBU

Position Start date: Immediate

Salary: Commensurate with experience, permanent renewable contract.

Hours: Full-time, 09:00 – 17:00 Monday to Friday (40 hours/per week).

Fully remote. Must be based in Toronto.

The North American Broadcasters Association (“NABA”) is a non-profit association committed to advancing the interests of radio and television broadcasters at home and internationally. NABA provides representation for North American broadcasters in global forums on topics including technical standards and digital transition, spectrum-related issues, territorial integrity of broadcasters’ signals, journalism issues such as freedom of speech and protection of journalists in emergency situations, as well as the protection of content and intellectual property. NABA also acts as the Secretariat office for the World Broadcasting Unions (WBU), which is the coordinating body representing eight regional broadcasting unions worldwide (including NABA).

NABA is seeking a highly detail-oriented, multi-skilled professional with top notch communication and organization skills who is motivated to work in a remote, small-staff environment. The position requires an individual that is resourceful and can work autonomously (and with others), take initiative, and demonstrate excellent follow-through. The candidate must be a team player and exhibit strong interpersonal skills and the ability to manage multiple assignments simultaneously. To be successful in this position, the candidate must be results-oriented with a strong work ethic and demonstrated ability to effectively prioritize assignments. The individual must also demonstrate the ability to work with confidential information and exhibit a high degree of diplomacy.

Reporting directly to NABA’s Director-General/Head of WBU’s Secretariat, this position includes a variety of administrative responsibilities supporting the Director-General/Head of Secretariat and the NABA/WBU Secretariat Office.

Key responsibilities
  1. Provide administrative support, including, but not limited to:
    • Processing staff expense reports
    • Reconciling credit card statements
    • Managing membership invoices and keeping track of incoming payments
    • Managing internal vendor invoices and payments
    • Filing documents in internal filing server
    • Managing the physical post office box and storage unit
    • Assist in overall office management including electronic filing systems, contacts database, budget tracking, annual membership renewals, administration of accounts receivables/payables, and ordering office supplies.
  2. Manage planning and execution of in-person conferences, meetings, webinars and other events, including registrations and on-site logistics.
  3. Assist with WBU meetings, including scheduling and recording early-morning meetings of the WBU, preparing documents for WBU meetings, and creating agendas and minutes.
  4. Keep NABA and WBU websites updated on a regular basis, including populating the global events calendar based on online research on conferences, meetings, and other international events.
  5. Assist with managing social media accounts, including making posts and engaging with relevant content – liking/sharing/commenting.
  6. Monitor and report on social media analytics and KPIs such as follower count, engagement levels and other metrics.
  7. Stay current on industry issues by attending industry webinars, conferences, and/or reading industry trade publications in areas of interest to NABA.
  8. It is understood and agreed that these duties and responsibilities are not exhaustive and may be changed with the Employer's changing circumstances.
Required skills, qualifications, and competencies
  • A degree or diploma in Office Administration, Business, Association Management or an equivalent combination of education and experience.
  • Strong skills in Microsoft Office: Word, Outlook, Outlook365, PowerPoint, and Excel.
  • Strong familiarity working with cloud-based environments (OneDrive, DropBox), conferencing platforms (Zoom, Teams), MailChimp (or similar invite applications), Slack and/or Causeway.
  • Must be extremely self-motivated, well-organized and methodical.
  • Must be comfortable with high-level technical language and willing to learn new areas of substantive competence to support NABA projects and activities.
  • An understanding of member-based association management is a plus.
  • Competency in Spanish is a plus.
