Role Overview

We are seeking a highly organized Remote Scheduler to coordinate caregiver shifts, manage real-time schedule changes, and maintain clear communication between clients, caregivers, and the care team. You will be responsible for ensuring every shift is filled, every change is handled smoothly, and every stakeholder receives timely updates.

This role requires outstanding attention to detail, strong communication skills, and the ability to stay calm and professional in a fast-paced environment with frequent adjustments.

Key Responsibilities
  • Coordinate caregiver schedules, assign shifts, and ensure all client care needs are covered in a timely manner.
  • Manage incoming calls regarding schedule changes, shift cancellations, caregiver call-outs, and urgent staffing needs.
  • Maintain accurate records in the scheduling system/CRM, updating caregiver availability, client preferences, and shift notes.
  • Communicate proactively with caregivers to confirm shifts, resolve conflicts, and improve reliability.
  • Work closely with care coordinators and recruiters to anticipate staffing shortages and upcoming scheduling demands.
  • Provide daily, weekly, and monthly scheduling reports to leadership.
  • Respond to emergency scheduling situations with strong judgment and professionalism.
  • Maintain strong relationships with caregivers and families to ensure satisfaction and continuity of care.
Qualifications
  • 2+ years of scheduling, coordination, dispatching, or administrative support (healthcare preferred).
  • Experience working in home care, senior care, nursing agencies, or healthcare scheduling is a strong plus.
  • High-level English communication skills (C1/C2).
  • Ability to multitask, prioritize, and stay organized in high-volume environments.
  • Strong problem-solving skills and customer service mindset.
  • Proficiency with scheduling platforms, CRMs, or home care management systems.
  • Remote work experience preferred.
Requirements
  • Professional remote work setup and reliable internet connection.
  • Strong Zoom presence and verbal communication skills.
