Job Title: Remote Payroll & Billing Assistant
Location: Fully Remote
Working Hours: 9:00 AM – 6:00 PM (EST/CST/PST)
Salary: USD $1,200/month + performance bonus

The Payroll & Billing Assistant plays a critical role in ensuring caregivers are paid correctly and clients are billed accurately — supporting the financial health and operational success of the agency.

Role Overview

We are looking for a detail-oriented Remote Payroll & Billing Assistant to manage weekly payroll processing, billing tasks, and financial documentation with accuracy and confidentiality. You will work closely with schedulers, service coordinators, and leadership to ensure all caregiver hours, invoices, and client payments are processed correctly and on time.

This role requires strong attention to detail, consistency, and the ability to manage sensitive information with professionalism.

Key Responsibilities
  • Process weekly caregiver payroll by verifying hours, timesheets, shift notes, and attendance.
  • Prepare client invoices, resolve billing discrepancies, and ensure accurate billing cycles.
  • Maintain financial records, including pay rates, client agreements, and service authorizations.
  • Communicate with caregivers to clarify payroll questions, missing hours, or shift corrections.
  • Follow up with clients or responsible parties regarding outstanding payments or billing inquiries.
  • Work closely with the care coordination team to verify service logs, schedule accuracy, and authorization compliance.
  • Ensure billing and payroll tasks comply with state regulations and company policies.
  • Assist with month-end reporting, audit preparation, and financial documentation requests.
  • Update the CRM and billing systems with accurate and timely financial data.
Qualifications
  • 2+ years of experience in payroll, billing, accounting support, or administrative finance roles.
  • Experience in home care, healthcare, staffing agencies, or service-based industries is strongly preferred.
  • Strong English communication skills (C1/C2 level).
  • High accuracy, attention to detail, and ability to meet weekly deadlines.
  • Proficiency with billing systems, QuickBooks, Excel, or similar financial tools.
  • Strong organizational skills and ability to handle confidential information responsibly.
  • Prior remote work experience is a plus.
