Job Purpose

The Sales Coordinator will play a critical support role in MODON Communities Sales and Sponsorships team, contributing to the commercial success of MODON Communities assets. This role is designed for a highly organized and confident professional who understands the dynamics of a fast-paced sales environment and excels in stakeholder coordination and internal servicing.

Working closely with the Associate and Senior Associate, the Sales Coordinator will assist in managing day-to-day sales operations, including lead follow-ups, reservation handling, client database maintenance, contract preparation, and sales documentation. The role will also serve as a key liaison for internal stakeholders across MODON to ensure seamless coordination of commercial activities, group bookings, and corporate engagements.

Strong communication skills, attention to detail, and a client-first mindset are essential. The ideal candidate will be confident in handling multiple priorities, proactive in resolving issues, and capable of supporting the sales team in delivering exceptional client service and meeting revenue objectives.

Roles and Responsibilities
  1. Sales & Lead Support

    • Assist the sales and sponsorship team in tracking and following up on sales leads across schools, corporates, hotels, DMCs, and OTAs.
    • Coordinate sales appointments, prepare meeting briefs, and support in generating proposals and pitch documents.
    • Maintain up-to-date records of sales activities and client engagements using the department tracker/s.
  2. Internal Stakeholder Coordination

    • Act as the key point of contact for internal MODON departments requesting sales-related services such as group bookings, activations, or commercial partnerships.
    • Ensure alignment between sales, operations, marketing, and finance teams to execute deliverables efficiently.
    • Track progress of internal requests and flag any dependencies or delays.
  3. Reservation & Booking Management

    • Manage and process group reservations and event bookings using the Galaxy/other booking systems.
    • Generate contracts, issue booking confirmations, and coordinate with other departments for event execution.
    • Ensure all reservation-related data is accurate and updated in internal systems.
  4. Sales Administration

    • Prepare sales agreements, NDAs, and documentation in line with MODON’s Communities commercial protocols and SOP’s.
    • Schedule meetings, maintain sales calendars, and support in organizing internal or external partner engagements.
    • Assist in tracking deliverables for signed sales and sponsorship agreements.
  5. Client Database & Relationship Management

    • Update and maintain the sales database with client data, pipeline stages, and key follow-up actions.
    • Generate regular reports on sales activities, booking status, and revenue performance to support decision-making.
  6. Collateral & Marketing Material Management

    • Maintain inventory of updated sales decks, brochures, rate cards, and promotional assets.
    • Support the team with collateral requirements for meetings, trade shows, and activations. Coordinate with the marketing team to update and replenish.
  7. Event & Activation Support

    • Provide logistical and administrative support for events, activations, and on‑ground sponsor engagements when required.
Qualification

Bachelor’s degree in business, Marketing, or Hospitality. PMP or relevant certifications in sales or event coordination are preferred to support cross-functional execution.

Experience

Minimum of 2–3 years of experience in sales coordination, client servicing, or administrative roles, preferably within tourism, hospitality, or commercial sales environments. Familiarity with B2B sales processes and multi-channel ecosystems is a strong advantage.
