The Project Coordinator is responsible for supporting the planning, execution, monitoring, and completion of various capital, renovation, and operational projects within the resort. This position ensures that all projects are delivered on schedule, within budget, and according to the resort’s high‑quality standards. The role requires excellent coordination skills, attention to detail, and the ability to communicate effectively with multiple stakeholders, including internal departments, contractors, consultants, and suppliers.

Key Duties and Responsibilities
  • Assist the Director of Engineering in preparing detailed project plans, timelines, budgets, and resource allocations.
  • Coordinate day‑to‑day project activities to ensure work is progressing as scheduled.
  • Liaise with internal departments (Engineering, Housekeeping, F&B, Procurement, and Operations) to align project deliverables with operational needs.
  • Organize and attend project meetings; record and distribute minutes and action points.
  • Monitor project schedules and follow up on pending tasks to ensure timely completion.
  • Maintain complete project documentation including drawings, approvals, permits, contracts, correspondence, and progress reports.
  • Prepare weekly and monthly progress reports for management and stakeholders.
  • Track project costs, variations, and payments to vendors and contractors.
  • Support the preparation of technical submittals, RFIs, and approval documents.
  • Act as a key contact between the resort’s management and contractors/vendors.
  • Facilitate smooth communication among project teams to ensure clarity on scope, deadlines, and quality standards.
  • Ensure all stakeholders are updated regularly on project status, challenges, and milestones achieved.
  • Ensure all on‑site activities comply with the resort’s safety standards and UAE regulatory requirements.
  • Conduct site inspections with the Engineering and HSE teams to verify work quality and adherence to specifications.
  • Coordinate snagging, de‑snagging, and final handover procedures.
  • Assist in implementing sustainability and environmental best practices in all project stages.
  • Support procurement in preparing BOQs, scope of work, and evaluation of vendor quotations.
  • Coordinate with suppliers for timely delivery of materials and equipment.
  • Monitor contractor performance and report any delays, non‑compliance, or quality issues.
  • Monitor project expenses and ensure adherence to approved budgets.
  • Assist in identifying cost‑saving opportunities without compromising on quality.
  • Support the preparation of project cost summaries and final financial close‑out reports.
Skills, Experience & Educational Requirements
  • Bachelor’s degree in civil engineering, Architecture, Project Management, or a related field.
  • Minimum 3–5 years of relevant experience in project coordination within the hospitality or construction industry (preferably luxury hotels or resorts).
  • Strong knowledge of project management principles, construction processes, and vendor coordination.
  • Proficiency in MS Office Suite and project management software.
  • Excellent verbal and written communication skills in English.
