What this job involves:

As a Program Coordinator - Meetings & Event at JLL, you will provide support and leadership of onsite meeting and events teams while ensuring the Meeting & Events Portal is up to date and coordinating event set ups with meeting and events teams for comprehensive operational excellence. You will coordinate meeting and event requests with meeting and events teams ensuring requests are completed in a timely manner while coordinating local employee experience activations and events and ensuring out of hours meeting and events are coordinated efficiently and effectively. This role involves ensuring general condition of meeting rooms meets agreed standards while ensuring service excellence across campus or region and coordinating service support such as Technicians, Janitorial and Security Teams. You will coordinate Logistics Team to ensure rooms are correctly configured while ensuring new processes and standards are implemented across sites in conjunction with Program Manager and providing operational oversight of campus or region, linking with Program Manager for implementation of global or regional practices and standards, directly contributing to JLL's mission of delivering exceptional meeting and event coordination services through comprehensive team leadership, portal management, and cross-functional collaboration that ensures service excellence, compliance standards, and operational efficiency across diverse campus environments.

What your day-to-day will look like:
  • Provide support and leadership of onsite meeting and events teams while ensuring Meeting & Events Portal is up to date for comprehensive operational coordination
  • Coordinate event set ups with meeting and events teams while coordinating meeting and event requests ensuring requests are completed in timely manner
  • Coordinate local employee experience activations and events while ensuring out of hours meeting and events are coordinated efficiently and effectively
  • Ensure general condition of meeting rooms meets agreed standards while ensuring service excellence across campus or region through comprehensive quality management
  • Coordinate service support such as Technicians, Janitorial and Security Teams while coordinating Logistics Team to ensure rooms are correctly configured
  • Ensure new processes and standards are implemented across sites in conjunction with Program Manager while providing operational oversight of campus or region
  • Act as point of escalation for issues while feeding back to Program Manager where required and ensuring compliance with EHS requirements for all activities
  • Manage meeting room furniture and equipment making recommendations for improvements while setting up and maintaining relationships with local external catering providers.
Required Qualifications:
  • Experience providing support and leadership of onsite meeting and events teams with skills in ensuring Meeting & Events Portal maintenance and coordination.
  • Ability to coordinate event set ups with meeting and events teams while coordinating meeting and event requests for timely completion and operational efficiency.
  • Skills in coordinating local employee experience activations and events while ensuring out-of-hour meeting and events coordination for comprehensive service delivery.
  • Experience ensuring general condition of meeting rooms meets agreed standards while ensuring service excellence across campus or region environments.
  • Knowledge of coordinating service support including Technicians, Janitorial and Security Teams while coordinating Logistics Team for correct room configuration.
  • Understanding of implementing new processes and standards across sites in conjunction with Program Manager while providing operational oversight capabilities.
  • Experience acting as point of escalation for issues while feeding back to Program Manager and ensuring compliance with EHS requirements for meeting activities
  • Skills in managing meeting room furniture and equipment while making improvement recommendations and setting up relationships with external catering providers.
Preferred Qualifications:
  • Experience with Meeting & Events Portal management and maintenance with understanding of event set up coordination across diverse campus environments
  • Knowledge of local employee experience activations and events coordination with experience ensuring out-of-hour meeting and events efficient coordination
  • Understanding of service excellence standards across campus or region with experience coordinating multiple service support teams for comprehensive operational delivery.
  • Knowledge of global or regional practices and standards implementation with experience linking with Program Managers for organizational alignment.
  • Experience conveying relevant feedback to Line Manager and Program Manager when appropriate while managing meeting room furniture and equipment effectively.
  • Understanding of Amazon Global Events and Meetings (GEMS) liaison requirements where onsite meetings and events cannot be accommodated
  • Knowledge of EHS requirements and standards compliance for all meeting and event activities with experience in operational oversight and escalation management.
