Job description

JOB CONTENT:
Responsible for sourcing and procuring a wide range of raw materials, consumables, spare parts, and services in line with budget and company policy by negotiating costs, credit terms, and ensuring timely delivery. Drive cost-effective solutions and identify opportunities for savings across key spend areas.

RESPONSIBILITIES:

  1. Identify and categorize stakeholder procurement needs, compile material specifications, and purchase goods and services in line with defined cost, quality, and delivery requirements.
  2. Prepare and issue RFQs, evaluate commercial bids, negotiate terms, recommend suppliers, and issue purchase orders. Ensure timely delivery through regular ERP-based follow-ups.
  3. Negotiate with suppliers to obtain the best deals on pricing and other terms (payment, delivery, etc.) or establish long-term discount agreements.
  4. Obtain necessary approvals, raise purchase orders with the most cost-effective and viable suppliers, and ensure delivery as per terms and conditions.
  5. Manage supplier relationships and new vendor development, ensure contract compliance and performance, prepare reports, and monitor market conditions for better products and pricing. Resolve issues related to price, quality, delivery, or invoices in coordination with suppliers.
  6. Liaise between suppliers and internal departments to support purchasing activities, new projects, and ongoing requirements.
  7. Coordinate with user departments to review procurement needs, resolve issues, gather feedback, and ensure continuous improvement and quality execution of procurement activities.
  8. Ensure all procurement activities adhere to company policies and purchasing guidelines.
  9. Maintain accurate documentation related to solicitations, purchases, contracts, and supplier correspondence.
  10. Maintain complete and accurate purchasing records and pricing data within the ERP system.
  11. Organize the sale and disposal of scrap, obsolete, or salvage items as per company policy.
  12. Monitor and expedite outstanding contracts, orders, and payments, ensuring timely follow-up for prompt resolution.
  13. Prepare periodic reports, summarize supplier performance data, conduct market visits/surveys, and monitor for better products/prices.
  14. Coordinate with departments to review procurement needs, resolve issues, gather feedback, and ensure continuous improvement.
  15. Provide technical, legal, statutory, and commercial inputs, and assist in implementing procurement systems to ensure scheduled activities.
  16. Assist stores in inspecting/verifying stocks quarterly and maintain stock records.
  17. Ensure compliance with Safety, Quality, Food Safety, and Environment requirements as per the global QHSE Management System, ISO, and local regulations.
  18. Keep all records and documents up to date, ensuring full traceability, and ensure processes meet company procedures and ISO standards.
  19. Stay informed of industry developments and advise on system, equipment, process, and upgrade implementations.
  20. Develop a procurement knowledge base to support information sharing, monitor industry trends, market conditions, and competitor strategies to enhance sourcing effectiveness.
  21. Perform any other tasks assigned by the line manager to meet department objectives.

Requirements

Education/Qualifications

  • Bachelor's degree or Diploma in Supply Chain Management, Business Administration, Engineering, or related field.

Certification in procurement or supply chain (e.g., CIPS, CPSM, CSCP) is preferred.

Experience

  • Minimum of 8 years experience in purchasing manufacturing equipment and raw materials for the engineering and packaging industry.

  • Ability to analyze quotations, cost comparisons, and vendor capabilities to support decision-making.
  • Strong communication skills for effective coordination with internal departments and external suppliers.
  • Ability to handle multiple procurement tasks while meeting deadlines.
  • Familiarity with procurement modules in ERP systems such as SAP, Oracle, or similar platforms.
  • Knowledge of Quality standards and ISO documentation.
