Overview

The Personal Assistant (PA) will provide high-level administrative support to the Regional CEO, as well as potentially other C-suite executives as required, ensuring efficient day-to-day operations, effective time management, and seamless coordination across business activities. The role requires a high level of discretion, initiative, and professionalism, acting as a key point of contact between the executive team and internal/external stakeholders.

Responsibilities
  • Executive Support: Manage and maintain the CEO’s calendar, ensuring efficient scheduling of meetings, calls, and travel; prepare briefing notes, agendas, presentations, and reports for internal and external meetings; coordinate complex travel arrangements, including regional and international trips, visas, and itineraries; handle confidential information with discretion and maintain the highest level of professionalism.
  • Strategic & Operational Support: Support the CEO in monitoring and following up on strategic initiatives, ensuring deadlines and deliverables are met.
  • Communication & Stakeholder Management: Liaise between the CEO and internal/external stakeholders (partners, clients, and employees); support the CEO in managing stakeholder relationships across different countries in the region; coordinate and prepare for regional leadership conferences, townhalls, and client events.
  • Office & Team Coordination: Oversee administrative support within the CEO’s office to ensure smooth operations; manage expense reports, approvals, and budgets related to the CEO’s office.
  • Special Projects: Take ownership of ad-hoc projects as delegated by the CEO, often involving cross-functional coordination.
Qualifications
  • Minimum 5 years’ experience in an executive assistant or senior administrative role, ideally within the insurance sector.
  • Experience supporting C-suite or senior executives in a fast-paced, international environment.
  • Bachelor's degree or equivalent experience.
  • Proficient in Microsoft Office suite.
  • Experience in managing multiple priorities, administrative coordination, and logistics.
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
  • Strong written and verbal communication skills.
