We are seeking a highly organized and proactive Personal Assistant to join our dynamic team. As a Personal Assistant, you will provide comprehensive administrative support to senior executives, ensuring their day-to-day operations run smoothly and efficiently. This role requires a detail-oriented individual with exceptional communication skills, someone who is adept at multitasking, and capable of handling confidential information with the utmost discretion. You will be the right-hand person to the executive, anticipating needs and addressing issues before they arise. Responsibilities
  • Manage and coordinate the daily calendar of appointments and meetings for senior executives.
  • Organize and prepare materials for presentations, meetings, and events as required.
  • Assist with travel arrangements, including booking flights and accommodations, and preparing itineraries.
  • Handle and prioritize all incoming and outgoing correspondence, including email, phone calls, and mail.
  • Conduct research and gather necessary information to assist in decision-making processes.
  • Maintain an organized filing system, both physical and digital, for easy document retrieval.
  • Prepare and edit reports, correspondence, and other documents as requested by executives.
  • Manage expense reports, ensuring timely submission and reconciliation of executive expenses.
  • Liaise with internal and external stakeholders on behalf of executives to communicate key messages.
  • Assist with special projects and events, ensuring they are executed efficiently and effectively.
  • Provide support in managing tasks and priorities to facilitate executive productivity and efficiency.
  • Act with a high level of confidentiality and professionalism in all interactions and negotiations.

Requirements
  • Proven experience working as a Personal Assistant or in a similar administrative role.
  • Exceptional organizational and multitasking skills in fast-paced environments.
  • Strong written and verbal communication skills essential for effective interaction.
  • Proficiency in office productivity software, including Microsoft Office Suite applications.
  • Ability to maintain discretion and handle sensitive information with confidentiality.
  • Strong problem-solving abilities to anticipate needs and address issues proactively.
  • Possess a high level of attention to detail and accuracy in all tasks.
