Administrative & Office Operations
- Oversee daily office functions, including reception, mail, supplies, and facility maintenance.
- Develop, implement, and maintain office procedures, including document control aligned with engineering standards (e.g., ISO, QA/QC processes).
- Manage office schedules, meeting rooms, travel arrangements, and calendars for engineering teams and managers.
- Coordinate onboarding/offboarding for engineering staff, interns, and contractors.
Engineering Project Support
- Support engineers in preparing proposals, bid documents, and project presentations.
- Track project deadlines, deliverables, and resource allocation, notifying relevant stakeholders of upcoming milestones.
- Maintain project filing systems (digital and physical) ensuring version control and compliance with engineering practices.
Financial & Procurement Support
- Assist with budget tracking, expense reporting, vendor invoicing, and project cost documentation.
- Coordinate procurement of technical equipment, software licenses, engineering supplies, and specialized tools.
HR & Compliance Support
- Support HR with timesheets, training records, certifications, and engineering compliance requirements.
- Maintain safety documentation and coordinate safety meetings, audits, and training sessions.
- Ensure engineering teams comply with company policies, regulatory standards, and industry requirements.
Communication & Coordination
- Serve as the communication link between engineering staff, management, clients, vendors, and cross-functional teams.
- Prepare and distribute internal communications, meeting minutes, and project updates.
- Support event planning such as site visits, team meetings, client workshops, and engineering conferences.
Academic qualification: Bachelor’s degree in business administration, Engineering Administration, or related field (preferred).
Skills
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office, engineering document management systems (e.g., AutoCAD Vault, Aconex, Procore), and collaboration tools.
- Excellent written and verbal communication skills.
- Ability to work independently and support multiple engineering teams.
- Basic understanding of engineering terminology, drawings, and project cycles is a plus.
Experiences: 2–5 years of office management, project coordination, or administrative experience within an engineering, construction, or technical environment.
