Job Description
The role of a Receptionist (Bilingual) is dynamic and involves maintaining a welcoming and professional environment for guests and clients, both in person and over the phone, in multiple languages. This position requires a candidate who is not only fluent in the required languages but also highly organized, detail-oriented, and possesses excellent communication and interpersonal skills. The Receptionist will act as the first point of contact for the company, providing support to clients and colleagues, managing schedules, and performing various administrative tasks. The ideal candidate can handle multiple duties simultaneously and maintain professionalism and courtesy in high-pressure situations. They will represent the company in a manner that reflects its values, ensuring clients and visitors receive a positive impression and experience.
Responsibilities
- Greet and assist visitors in a courteous and professional manner.
- Manage incoming calls and direct them to the appropriate department.
- Ensure the reception area is tidy, organized, and welcoming.
- Process mail, deliveries, and couriers for the office promptly.
- Coordinate and schedule meetings, appointments, and conference rooms.
- Provide accurate information to clients and visitors about the company.
- Maintain security by following procedures and controlling access.
- Assist with administrative tasks, such as filing and data entry tasks.
- Maintain office supplies inventory by checking stock regularly.
- Collaborate with staff to support company events and activities.
- Handle customer inquiries and complaints efficiently and tactfully.
- Prepare and distribute correspondence, memos, and emails as needed.
Requirements
- High school diploma or equivalent is required for this position.
- Proven work experience as a receptionist or in a similar role.
- Excellent verbal and written communication skills in two languages.
- Proficiency in Microsoft Office Suite and office management software.
- Strong organizational skills with attention to detail and multitasking.
- Professional appearance and a positive, friendly attitude are essential.
- Ability to work independently and as part of a team effectively.
