Executive Assistant

Location: Vision Tower, Dubai

Working Hours: Full-time, Monday to Friday (9:00 AM – 6:00 PM)

Reporting to: CEO

Role Type: Permanent, Office-Based

Overview

We are seeking a highly capable, discreet, and proactive Executive Assistant to support the CEO in a fast-moving, entrepreneurial environment. This is a hands-on role requiring exceptional organisation, sound judgment, and the ability to manage both professional and personal priorities with confidence. This position acts as a trusted gatekeeper and operational anchor to the CEO, ensuring the smooth running of daily schedules, communications, and priority tasks across both business and personal matters. The role requires a high level of discretion, initiative, and the ability to anticipate needs and act decisively.

Key Responsibilities
Executive & Business Support
  • Act as the CEO’s primary point of coordination for meetings, schedules, and daily priorities
  • Manage complex calendars, meetings, and time-blocking with precision
  • Prepare meeting agendas, notes, follow-ups, and action trackers
  • Handle correspondence, emails, and calls with professionalism and discretion
  • Liaise with senior stakeholders, partners, advisors, and internal teams
  • Support light project coordination and follow-ups across multiple businesses
Office & Operational Support
  • Be present in the office to support day-to-day operational flow
  • Coordinate internal logistics, meetings, and office administration
  • Maintain organised digital and physical filing systems
  • Assist with document preparation, contracts, and signing processes
  • Ensure confidentiality and professionalism at all times within the office environment
Personal & Family Assistance (as required)
  • Coordinate travel arrangements (flights, hotels, visas, itineraries)
  • Assist with personal scheduling, appointments, and errands
  • Support ad-hoc personal requests with discretion and efficiency
  • Assist with light administrative support related to family matters
Finance & Admin Support (Exposure Role)
  • Assist with basic invoicing, reconciliations, and expense tracking
  • Coordinate with finance teams or external accountants when needed
  • Maintain structured records for payments, invoices, and approvals
  • Support simple bookkeeping tasks (experience with Xero is an advantage)
Skills
Who We’re Looking For
  • 3+ years’ experience as an Executive Assistant, Personal Assistant, or similar senior support role
  • Prior office-based experience supporting a CEO or senior executive is essential
  • Exceptionally organised, detail-oriented, and calm under pressure
  • Strong written and spoken English
  • High emotional intelligence, discretion, and professionalism
  • Comfortable handling both business and personal matters
  • Proactive mindset — anticipates issues before they arise
  • Confident using Microsoft Office, calendars, and document tools
  • Experience with Xero, finance admin, or reconciliations is a strong advantage
