Role Overview

We are seeking a highly capable and organized Executive Assistant to support a C-level executive at PSI. The ideal candidate will have strong administrative experience coupled with a background in project coordination or management. This hybrid role combines traditional EA responsibilities with oversight and support on high-priority projects, requiring someone who is proactive, resourceful, and able to thrive in a fast-paced, real estate-driven environment.

Key Responsibilities
  • Executive & Administrative Support
  • Manage complex calendars, schedule high-level meetings, and coordinate local and international travel
  • Prepare reports, internal communications, presentations, and documentation for leadership meetings
  • Draft and respond to emails, letters, and internal memos on behalf of the executive
  • Track deadlines and ensure the executive is well-prepared and informed at all times
  • Project Coordination & Monitoring
  • Support the executive in managing ongoing strategic projects related to real estate development, sales, or operations
  • Track project milestones, follow up with internal departments, and provide status updates
  • Organize and attend project meetings, preparing meeting notes, agendas, and action item follow-ups
  • Assist in preparing feasibility reports, performance summaries, or executive dashboards when needed
  • Stakeholder & Client Interface
  • Serve as the primary liaison between the executive and internal teams, investors, partners, or VIP clients
  • Coordinate high-level communications with professionalism and cultural awareness
  • Handle confidential information with discretion, particularly in relation to investments or partnerships
Qualifications & Requirements

Education & Experience

  • Bachelor's degree in Business Administration, Project Management, Real Estate, or related field
  • 4–6 years of experience as an Executive Assistant, preferably supporting C-level executives
  • Exposure to project coordination or a formal project management environment (PMP certification is a plus)

Skills & Competencies

  • Strong written and verbal communication skills in English; Arabic is an advantage
  • High proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Word); familiarity with project tools (e.g., Trello, Asana, Monday.com) is a bonus
  • Ability to manage multiple tasks, prioritize, and meet tight deadlines
  • Strong organizational and problem-solving skills
  • High level of discretion, confidentiality, and emotional intelligence
  • Arabic or European language in addition to English fluency
Work Environment
  • Office-based role in Abu Dhabi
  • May require flexible hours depending on project demands or executive scheduling
  • Professional attire and conduct expected at all times
