- Act as the primary point of contact and gatekeeper for the COO/CEO’s office.
- Manage the COO/CEO’s complex calendar, travel, meetings, and communication.
- Prepare presentations, briefing notes, and reports for internal and external meetings.
- Take detailed meeting minutes, capture action points, assign responsibilities, and track follow-ups until closure.
- Ensure confidentiality and discretion in all matters.
Corporate Secretary Duties
- Draft, review, and maintain board and shareholder meeting agendas, minutes, and resolutions.
- Ensure compliance with legal, corporate, and regulatory requirements across jurisdictions.
- Liaise with legal, compliance, and finance teams to maintain statutory records and filings.
- Support governance frameworks, reporting, and audits.
Technology & Regulatory Understanding
- Attend technical and regulatory meetings with cross-functional teams to capture requirements and decisions.
- Understand technology-related discussions (e.g., cybersecurity, digital assets, compliance, product updates) and translate them into structured documentation and follow-up tasks.
- Track key regulatory deadlines and ensure timely updates to management.
- Coordinate with external advisors, regulators, or consultants when required.
4. COMMUNICATIONS & WORKING RELATIONSHIPS:
- Work closely with Product, Legal, and Finance teams to drive execution of CEO /COO directives.
- Monitor progress on strategic initiatives and prepare status updates for the CEO/COO .

5. QUALIFICATIONS, EXPERIENCE & SKILLS:
Education
- Bachelor’s degree in Business Administration, Law, Technology, or related field.
- Postgraduate degree or certification in Corporate Governance, Compliance, or Technology is a plus.
Experience
- 5+ years of experience as an Executive Assistant, Corporate Secretary, (in technology or regulated industries such as fintech, digital assets, or telecom).
- Proven track record of supporting senior executives in high-pressure, fast-paced environments.
- Experience with corporate governance, regulatory compliance, or legal documentation.
Skills
- Strong understanding of technology-driven businesses and regulatory landscapes.
- Exceptional organizational, multitasking, and prioritization skills.
- Excellent written and verbal communication skills (English required; additional languages a plus).
- Strong stakeholder management and cross-functional collaboration.
