A Document Controller for Multi-Factories is a centralized role responsible for managing the complete lifecycle of technical, operational, and administrative documentation across several manufacturing sites. This professional ensures that all factories operate with accurate, up-to-date, and standardized information while maintaining strict compliance with regulatory and quality standards.

Key Responsibilities
  • Establish and maintain a unified filing system (physical and electronic) for multiple factories to ensure easy retrieval and consistency.
  • Track document revisions across all sites to ensure technical drawings, SOPs, and work instructions are the latest approved versions.
  • Prepare and organize documentation for internal and external quality audits (e.g., ISO standards) across the various factory locations.
  • Manage the secure flow of information to authorized personnel in different departments (HR, Engineering, Production) while maintaining confidentiality.
  • Review and verify the accuracy of all technical documents, reports, and contracts before distribution.
  • Act as the primary liaison between production teams, engineers, and management at various sites to facilitate a seamless document flow.
  • Manage Electronic Document Management Systems (EDMS) like SharePoint, Aconex, or Procore to digitize factory records.
Requirements
  • Bachelor’s degree in Business Administration, Engineering, Information Management, or a related field.
  • Typically 3–5 years of experience in document control, preferably in manufacturing, construction, or a multi-site environment.
  • Proficiency in MS Office Suite (Excel, Word, Outlook).
