Overview

Applied Technology and Management (ATM), a Geosyntec Company, is looking for a Document Controller with at least 3 years of experience to assist with tracking all contract documents, drawings, and technical documents for engineering and construction projects. This uses standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports as required. The work requires the exercise of considerable initiative, independent judgment, and discretion in planning, prioritizing, and organizing a diversified workload.

Essential Duties and Responsibilities
  • Maintain an accurate and up-to-date record of all design and construction-related documents, including drawings, specifications, manuals, reports, and correspondences using electronic document management software.
  • Update technical submission schedules, method statement schedules, RFI registers, submittal registers, and drawing registers.
  • Assist in the preparation of project progress reports by providing accurate documentation updates.
  • Control/track/issue pertinent documents from the client, contractors, and subcontractors.
  • Ensure that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.
  • Produce logs, transmittals, and other reports as required.
  • Archive contract/project documents and successfully close out and handover of the documentation as required.
  • Proof billing reviews and client invoices for accuracy. Ensure compliance with client and/or project manager standards.
  • Create templates for client-specific formatting.
  • Coordinate the production of reports, technical papers, forms and summaries and other documents with a high level of complexity and confidentiality, utilizing other staff administrative resources as necessary and appropriate.
  • Compose material and information and type and design general correspondence, memos, charts, tables, graphs, business plans, reports and documents relating to client, project, and professional matters. Proofread copy for formatting consistency, making appropriate changes or providing appropriate feedback to document originator. Responsible for accuracy and clarity of final copy. Sign correspondence as required.
  • Assist with proposals and other marketing activities.
  • Train and supervise other administrative staff on document control procedures.
Skills, Experience and Qualifications
  • A High School Certificate and 3 years (5+ preferred) of experience as a Document Controller or an equivalent combination of education and experience. (required)
  • The candidate shall be fluent in English (required).
  • Experience with Microsoft Office Excel, Outlook, and PowerPoint and electronic document management software as well as knowledge of engineering design consulting procedures, construction document control procedures. (required)
  • Ability to read, analyse and interpret general business periodicals, professional journals, office procedures, software manuals, and governmental regulations.
  • Ability to write correspondence, routine reports, procedure manuals, and presentations conforming to prescribed style and format.
  • Ability to effectively present information and respond to questions from groups of professionals, project teams, and clients.
