Document Controller – Job Description (UAE)
Location: Abu Dhabi, UAE
Reports To: Department Head
Role Overview
The Document Controller is responsible for managing, tracking, and safeguarding all the documents and records. The role ensures that documentation is accurate, up-to-date, properly stored, and accessible to authorized personnel, in line with company procedures and UAE industry standards (construction, engineering, real estate, or corporate functions).
Key Responsibilities
Document Management
- Maintain and control all project or departmental documents (drawings, submittals, contracts, correspondence, reports, and records).
- Ensure proper documentation flow between internal teams, consultants, contractors, and clients.
- Receive, log, distribute, track, and archive documents using the company’s document management system (DMS).
- Ensure all incoming/outgoing documents comply with the company’s naming conventions, numbering, and submission standards.
Quality & Compliance
- Review documents for completeness, accuracy, and compliance with project and ISO standards.
- Manage document revision control and ensure only the latest versions are issued.
- Assist in internal/external audits by providing required documentation.
Coordination & Communication
- Act as the main point of contact for document-related queries.
- Coordinate with project managers, engineers, contractors, and other stakeholders for timely submission and approval of documents.
- Follow up on pending submittals and approvals to ensure project deadlines are met.
System & Reporting
- Maintain an organized electronic and physical filing system.
- Update DMS platforms (Aconex, Procore, Asite, SharePoint, etc.) as required.
- Generate periodic document status reports for management.
- Ensure secure document storage and manage user access rights.
Skills & Competencies
- Strong knowledge of DMS platforms (Aconex preferred for UAE projects).
- Excellent organizational skills and attention to detail.
- Strong communication skills
- Ability to work under pressure and meet deadlines.
Qualifications
- Diploma or Bachelor’s degree in Business Administration, Engineering, IT, or related field.
- 2–5 years of experience as a Document Controller (UAE experience preferred).
- Proficiency in MS Office and electronic document management systems.
- Knowledge of ISO 9001 documentation procedures is an advantage.
