Description of Role

The key aspect of the coordination function is to provide clients with a single point of contact to address and project manage engagements and ongoing compliance across the Operate Business in South Africa, for multi-country clients in Africa. As a supervisor, you will be allocated a client portfolio and will be required to work with managers across the EY footprint on client engagements and support them with the overall coordination of various accounts.

Key Responsibilities:

The following are your main responsibilities:

  1. Coordination of Expatriate Tax, Immigration, and Payroll services for key accounts, including case management, tracking, reporting, billing, etc.
  2. Coordination of Tax and Accounting compliance services on engagements across the continent.
  3. Maintenance and administration of global EY technology tools (e.g., EY Interact, EY Mobility Pathways, GEAR, and other trackers).
  4. Building strong relationships with clients and colleagues worldwide.
  5. Being the point of contact for key accounts.
  6. Serving as liaison between EY offices and clients.
  7. Progress reporting and meeting notes, including preparation of authorization lists, compliance calendars, status reports, client reports, query trackers, billing spreadsheets, and minutes.
  8. Probing country teams and vendors for legislative changes and trends in Expatriate Tax, Immigration, and Payroll.
  9. Managing work-in-progress (WIP) and debtors.
  10. Assisting with proposal processes and fee gathering across Africa.
  11. Managing out-of-scope processes across engagements.
  12. Identifying scope creep early and informing teams to source additional fees where applicable.
  13. Attention to detail; ability to work independently and in a team.
  14. Managing stakeholder expectations and adhering to deadlines and KPIs, including drafting contracts for external providers, clients, and interfirm agreements.
  15. Curiosity to learn and grow within the coordination function and personal career development.
  16. Handling risk processes, including opportunity loading, PACE, linking to EY workspaces, and maintaining the GEAR system.
  17. Excellent time management and multitasking skills.
  18. Willingness to adapt to new challenges and see tasks through.
  19. Ensuring global process consistency and streamlining local office procedures.
  20. Attending to escalations promptly to ensure excellent client service.
  21. Vendor onboarding and ongoing management.
  22. Handling new client onboarding and transitions.
  23. Timely response to requests, managing internal and external stakeholders.
  24. Creating and maintaining a database of key information and templates to streamline processes.

Minimum Qualifications:

  1. Relevant degree/diploma or equivalent experience.
  2. Strong administrative skills.
  3. Experience in consular services with a proven track record.
  4. Knowledge of individual tax compliance and payroll is a bonus.
  5. Advanced Microsoft Office skills.
  6. Proficient in business writing and communication at all organizational levels.
  7. Confidentiality and strong work ethic.
  8. Experience managing a portfolio of coordination engagements.
  9. Strong project management skills.
  10. High-quality deliverables and leadership skills.
  11. Problem-solving mindset.
  12. Confidence in client interactions.
