About Us

Otto Signs is a family‑run signage company with over 35 years' experience in manufacturing and supply of road traffic signs and custom signage solutions.

We are trusted across the Western Cape for our commitment to compliance, quality, and safety. We are seeking a professional, friendly, organised and adaptable Receptionist to join Otto Signs and take on this vital role as the first point of contact for our clients, suppliers, and visitors.

Role Overview

The Receptionist is the face and voice of Otto Signs.

You will manage the front desk, calls, and visitors, and play a key role in our production flow by receiving orders from the sales department and issuing job cards to the workshop.

You’ll also handle client payments during collections and ensure accurate processing with the accounts team.

In addition, you will support the office team with administration, filing, and customer service.

Key Responsibilities
  • Welcome visitors and clients professionally at reception.
  • Answer and route incoming calls and emails.
  • Maintain a tidy and welcoming reception area.
  • Manage incoming and outgoing mail, deliveries, and courier bookings.
  • Process client payments (cash and card) during collections and ensure accurate handover to accounts.
  • Receive client orders and accurately prepare job cards for the workshop.
  • Support office administration: filing, document preparation, scanning.
  • Assist with HR and Health & Safety records when needed.
  • Coordinate with accounts and sales teams for client queries.
  • Ensure confidentiality and professionalism at all times.
Skills & Requirements
  • Matric (Grade 12) or equivalent required.
  • Minimum 3 years' experience in reception, administration, or customer service.
  • Strong communication skills in English and Afrikaans (isiXhosa an advantage).
  • Confident telephone manner and excellent people skills.
  • Proficient with MS Office (Word, Excel, Outlook); additional experience in tools like Trello (task management) and Xero (accounts / quotations) an advantage.
  • Well‑organized, punctual, and detail oriented.
  • Ability to multitask and remain calm under pressure.
