Key Responsibilities
Administration & Management
- Attend to tenant requests and ensure all issues are resolved promptly.
- Maintain building files, key registers, lift registers, and compliance documentation for audits.
- Manage budget approvals for both planned and ad hoc property maintenance.
Risk & Compliance Management
- Ensure statutory compliance including fire safety, emergency lighting, PA systems, and emergency generators.
- Conduct regular risk assessments and building inspections, record incidents, and manage risk mitigation processes.
- Maintain high standards of OHS compliance, health and safety, and building operations.
Financial Management
- Monitor purchase orders and service provider performance.
- Assist with budget preparation, facilities cost control, and technical reporting.
- Ensure all maintenance work, repairs, and service contracts are completed and invoiced accurately.
Asset & Facility Maintenance
- Oversee contractual services, remedial work, and daily ad hoc maintenance.
- Manage energy and utility systems, tenant metering, and asset registers.
- Participate in projects, tenant installations, handovers, and site inspections.
Service Provider & Staff Management
- Manage staffing requirements for cleaning, security, landscaping, waste management, and contractors.
Customer Service
- Act as liaison between tenants, property management, and service providers.
- Provide feedback and ensure tenant satisfaction and comfort at all times.
- Attend to emergencies 24/7 and manage site access for contractors and events.
Qualifications & Experience
- Grade 12 (Matric) or relevant technical qualifications in facilities management, building management, or infrastructure management.
- Minimum 5 years experience in property management or facilities management.
- Training in Occupational Health & Safety (OHS Act).
