About the Company
A fast-growing e-commerce business buys and resells Amazon return items through local auction platforms and online marketplaces (primarily eBay and Walmart). The operation runs lean and fast: small footprint, high inventory turnover, and heavy reliance on clear systems and SOPs.
The company already works with several VAs and is now looking to upgrade and expand the team with a highly reliable, adaptable Virtual Assistant who can grow with the business.
Role Overview
We’re looking for a full-time E-commerce Auction & Operations Virtual Assistant to:
- Run and monitor online auctions for Amazon returns (pallets & individual items)
- Place bids using a pre-defined pricing system
- Support day-to-day operations with invoice entry and admin tasks during downtime
- Follow clear SOPs while also being flexible as systems get automated and improved over time
This is a long-term role with room to grow into higher-level responsibilities as the business scales and manual work is automated.
Core Responsibilities
1. Auction Monitoring & Bidding
- Monitor multiple online auction platforms according to a schedule
- Use the internal pricing tool to determine maximum bid amounts
- Be online and attentive when auctions start/close to place bids at the right time
- Double-check item details (condition, category, expected resale value) before bidding
- Log auction outcomes and key notes as per existing SOPs
2. E-commerce Operations Support
- Assist with invoice entry and basic data entry during downtime between auctions
- Update tracking spreadsheets / Airtable bases according to instructions
- Help maintain orderly records of purchases, auction wins, and inventory data
- Follow documented SOPs carefully and suggest improvements where useful
3. Administrative & Back-Office Tasks
- Perform small recurring tasks assigned by the owner (all heavily SOP-driven)
- Support marketplace operations (e.g., cross-checking listings, basic product research)
- Communicate proactively via the company’s chosen channels (Slack, email, etc.)
- Flag issues, risks, or strange auction behavior immediately
4. Continuous Improvement & Growth
- Adapt as the role evolves: over time, more manual work will be automated
- Take on increasingly higher-level tasks (process improvement, reporting, coordination) as capacity allows
- Bring ideas to improve efficiency, accuracy, or structure within your work area
Must-Haves
Experience
- Minimum 3+ years as a VA, operations assistant, e-commerce VA, or similar role
Skills & Traits
- Excellent written and spoken English
- Detail-oriented with strong focus and low error rate (especially around bidding & numbers)
- Fast learner – comfortable learning new systems, tools, and processes quickly
- Adaptable & flexible – understand that the role will not look the same in a year
- Comfortable following clear SOPs while still thinking critically
- Reliable, consistent, and comfortable working during US Eastern hours
Tech & Tools
- Confident using web-based tools and platforms
- Comfortable working across multiple tabs, platforms, and systems simultaneously
- Stable internet connection and a quiet, professional workspace
Nice-to-Have Experience
- Not required, but will be a strong plus
- Airtable (for tracking, operations, or inventory)
- QuickBooks Online (QBO) – basic familiarity with invoice/data entry
- Experience with eBay, Walmart, or other e-commerce marketplaces
- Prior work with auction or liquidation platforms
Compensation
$800 - $1,100 a month
Schedule
Schedule: Full-time, 40 hours/week
Time Zone: Must comfortably work within 8:00 AM – 10:00 PM Eastern Time (ET)
(Typical shifts are 8 AM–4 PM ET or 4 PM–10 PM ET – final schedule to be agreed.)
