APAC Workplace Ambassador
Reporting Line: Senior Facilities Manager
Role Purpose
  • Primary contact for all facilities matters, leading front-of-house services and ensuring high standards of customer service, safety, and operational excellence.
  • Supports seamless workplace operations, enhances client and visitor experience, and fosters a collaborative environment.
Key Responsibilities
Front of House & Client Services
  • Deliver 5-star customer service and maintain a professional appearance.
  • Ensure reception and waiting areas are operational and staffed during core hours (9am–6pm).
  • Meet, greet, and guide colleagues, clients, and visitors in a friendly, professional manner.
  • Provide information on building facilities, meeting rooms, events, and amenities.
  • Manage all visitor categories per security protocols, including announcing visitors, maintaining lists, handling security passes, and providing security briefings (including fire evacuation procedures).
  • Welcome new joiners with orientation tours and documentation.
  • Suggest and help implement improvements to reception services; monitor feedback and action plans.
  • Manage meeting room bookings and usage metrics to maximize utilization.
Meeting Room, Event & Hospitality Management
  • Plan and execute internal events with support from relevant teams.
  • Conduct daily checks of meeting rooms and office spaces for cleanliness and readiness, including setup/reset for meetings and events (AV/VC, catering needs).
  • Manage meeting room bookings, reservations, confirmations, and changes.
  • Prepare and serve catering, coordinate with vendors for large functions, and monitor pantry areas for cleanliness and hygiene.
  • Supervise event setup and breakdown, including risk assessments, tech support, and team briefs on upcoming activities.
  • Encourage appropriate booking behavior, provide utilization reporting, manage stock for sundry items and consumables, and monitor costs, confirm invoices, and onboard vendors as needed.
Administrative Support
  • Process mail and courier deliveries securely and on time; serve as point of contact for courier assistance and coordinate with vendors.
  • Support onboarding/offboarding with facilities card access requests, guide staff on vending system, manage desk moves and space planning, maintain accurate seating plans, assist with stationery ordering, and support new joiner processes.
  • Create and distribute daily visitor and meeting requirement lists.
Health, Safety & Environment
  • Execute fire safety and evacuation procedures as reception team lead, maintain safety protocols, support emergency procedures, and facilitate fire warden and first aid training for employees.
Facilities Operations
  • Conduct daily inspections of offices and meeting rooms, log cleaning and maintenance issues, raise and follow up on work orders, support reactive maintenance, and liaise with contractors.
  • Manage building facilities arrangements, monitor compliance, handle Facilities helpdesk requests, keep accurate records, and ensure thorough handover planning when absent.
  • Oversee vendor work, proactively inspect premises, liaise with landlord/building management for timely work order completion, enter/monitor/redirect work orders as needed, and track SLA adherence.
  • Assist with scheduling and completion of maintenance activities, direct vendors for coordinated, minimally disruptive work, and conduct site inspections to ensure procedures and performance standards are met.
  • Maintain premises in good condition, communicate regularly with clients, provide updates on managed areas, and be available for emergency contact 24/7 for escalation.
  • Support repair and maintenance of office/kitchen equipment and supply orders, respond to server room alerts and call technicians as needed, manage card access systems, support business and internal events (logistics and hospitality), supervise employee-based initiatives and events, issue and control visitor security passes, manage visitor forms, brief new starters on emergency procedures, communicate effectively with team and management, implement and audit safety procedures for compliance, support disaster recovery and business continuity plans, follow escalation and incident reporting procedures, and perform other duties as directed by manager.
