Job description
Job Purpose / Key Responsibilities

The Warehouse Executive is responsible for managing inventory operations at the Storage Site, ensuring efficient storage planning, accurate stock control, and smooth logistics flow. This role involves coordinating with contractors, implementing Standard Operating Procedures (SOPs), and maintaining a live inventory management system to support operational excellence.

Key Responsibilities
Inventory Management
  • Plan and optimise storage space utilisation within the Storage Site.
  • Coordinate stores and equipment for maintenance or loan, and monitor timely returns.
  • Issue and receive stores and equipment from contractors appointed by STB or Race Promoter, including:
    • Providing clear loading and unloading instructions.
    • Inspecting physical condition of items and noting defects prior to issue or receipt.
    • Ensuring correct identification and quantity of items issued or received.
  • Conduct regular stock‑taking and maintain accurate inventory records.
  • Assist in discrepancy resolution and oversee closure of discrepancies.
  • Develop and implement SOPs for logistics and inventory management within the Storage Site.
Inventory Management System
  • Operate and maintain a web‑based inventory management system to track and monitor inventory movement in real time.
  • Ensure system captures item details (name, description, image, quantity, issuance records, collection details).
  • Generate monthly and ad‑hoc inventory reports (e.g., stock summary, movement history).
  • Approve or reject item collection/delivery requests submitted by contractors via the system.
  • Ensure system accessibility across desktop and mobile platforms, with secure hosting and data storage.
  • Manage user authentication, monitor account activity, and review access rights regularly.
Logistics & Traffic Control
  • Ensure smooth traffic flow within the Storage Site for loading/unloading operations.
  • Implement controls for vehicle movement and manage scheduling of incoming contractors and trucks to minimise congestion.
Material Handling
  • Arrange manpower and material‑handling equipment (e.g., forklifts, cranes) as required, on a pay‑per‑use or agreed‑rate basis.

*Any other ad hoc duties required from time to time.

Key Competencies
  • Attention to detail and accuracy in stock control.
  • Effective communication and coordination skills.
  • Ability to work under pressure and manage multiple priorities.
  • Familiarity with traffic and logistics flow management.
Required Skills and Qualifications
  • Higher‑NITEC or Diploma or equivalent in Logistics, Supply Chain Management, or related field.
  • Minimum 2 years of experience in warehouse or inventory management.
  • Proficient in inventory management systems and MS Office applications.
  • Strong organisational and problem‑solving skills.
  • Ability to coordinate with multiple stakeholders and manage time‑sensitive operations.
  • Knowledge of safety and compliance standards in warehouse operations.
