Job summary

A construction company in Singapore is seeking a Stenographer/Admin Assistant to provide administrative support and stenography services. The ideal candidate will have a diploma in Business Administration and proven experience in similar roles, with the ability to type up to 100 words per minute and knowledge of stenography being a significant advantage. This role involves attending meetings, transcribing minutes, and managing correspondence in a fast-paced environment.

Qualifications

  • Minimum Diploma / Certificate in Business Administration, Secretarial Studies, or related field.
  • Proven experience as a Stenographer, Secretary or Admin Assistant preferred.
  • Able to type at least 80–100 words per minute with high accuracy.
  • Knowledge of stenography/shorthand is a strong advantage.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Strong attention to detail, organisation, and time-management.
  • Able to handle confidential matters professionally.
  • Good communication skills and ability to multitask in a fast-paced environment.

Responsibilities

  • Attend site, project, tender, and management meetings to take accurate shorthand notes.
  • Provide real-time stenography support during meetings and discussions.
  • Transcribe minutes accurately and prepare clean reports.
  • Assist project teams with administrative tasks.
  • Manage incoming/outgoing correspondence.
  • Support tender and project teams with document formatting and record keeping.
  • Maintain confidentiality of sensitive project materials.
  • Liaise with internal departments for smooth administrative workflow.
