Job summary

A manufacturing company in Singapore is seeking a Shipping Coordinator to prepare and validate shipping documents, coordinate with various stakeholders, and maintain accurate records. The ideal candidate should have a minimum of 2 years of experience in a shipping or warehouse environment and be adept at using SAP and MS Office. Strong communication and interpersonal skills are essential for handling customer inquiries and supporting warehouse operations. Responsibilities
  • Prepare and verify all shipping documents to ensure completeness and compliance with import/export rules and regulations.
  • Prepare shipping documentation and arrange Certificates of Origin for Singapore Chamber endorsement.
  • Validate and verify all export documents for assigned products/markets.
  • Coordinate shipments with customers, truckers, agents, forwarders, and shipping lines.
  • Handle vessel bookings and manage all BL‑related matters (draft BL verification, switch BL, freight payments, LOI).
  • Send shipment advice and required documents to customers within the specified timeframe.
  • Arrange dispatch of original documents upon receipt from vendors and track the successful arrival to customers.
  • Arrange transportation and deliveries from suppliers to ensure timely fulfilment of customer demand.
  • Maintain accurate shipping records and update shipment/inventory databases.
  • Handle customer enquiries promptly and professionally.
  • Perform clerical and data‑entry tasks accurately.
  • Work closely with the Warehouse team on material readiness for shipment.
  • Review freight costs, transportation rates, and logistics‑related expenses for cost optimisation.
  • As directed by management, assists warehouse personnel with general warehouse duties (stocking, pulling stock, packaging, material handling & related job duties), with a willingness to be cross‑trained & to proactively support warehouse operations.
Requirements
  • Minimum 2 years of working experience in a shipping or warehouse environment.
  • Experience with SAP is preferred.
  • Proficient in MS Office applications (Word, Excel, Outlook).
  • Good communication and interpersonal skills.
  • Ability to operate a power pallet jack safely and confidently.
