Key Responsibilities:
1. Clinical & Administrative Support
- Manage the Medical Director’s calendar, including patient appointments, clinical meetings, and professional engagements.
- Organize and prepare patient case notes, investigation results, imaging reports, and follow-up documentation.
- Coordinate communication with patients, including scheduling, reminders, and post-consultation follow-ups.
- Ensure that patient files are updated, accurately filed, and handled with strict confidentiality.
- Prepare necessary documentation for surgeries, procedures, or referrals.
2. Operational & Strategic Support
- Assist the Medical Director in implementing clinical programs, service enhancements, and operational improvements.
- Track and follow up on action items, project timelines, and reporting deliverables.
- Support preparation of presentations, briefing papers, and reports for internal and external stakeholders.
- Coordinate internal meetings and committee sessions, including agenda preparation and minute-taking.
3. Stakeholder & Team Liaison
- Liaise with clinic managers, nurses, and allied health teams to ensure smooth patient flow and operational efficiency.
- Serve as the point of contact between the Medical Director and other departments, external partners, or patients when required.
- Assist in handling urgent clinical matters or escalations in coordination with relevant departments.
4. Quality & Compliance Support
- Help monitor clinical workflow, identify service gaps, and suggest improvements.
- Ensure compliance with internal SOPs, patient confidentiality protocols, and regulatory requirements.
- Support data collection and documentation for audits, medical board reviews, and quality assurance activities.
Requirements:
Qualifications:
- Degree in Healthcare Administration, Life Sciences, Nursing, or related field.
- Additional certification in healthcare operations or medical administration is an advantage.
Experience:
- 2–5 years in a clinic, hospital, or healthcare setting, with experience supporting a senior clinician or medical leader.
- Familiarity with managing patient records, medical documents, and appointment systems.
Skills:
- Highly organized and meticulous, with the ability to manage sensitive clinical information.
- Strong interpersonal and communication skills to interact with patients and medical professionals.
- Proficient in Microsoft Office; experience with EMR systems preferred.
- Able to multitask, prioritise, and work efficiently in a fast-paced environment.
- Professional, discreet, and proactive in supporting the needs of a senior doctor.
