The jobholder (6 months contract) supports the Manager and Team Lead in ensuring the efficiency and smooth operations of the Partnerships Department by focusing on the management of volunteers aligned with Yayasan MENDAKI (MENDAKI)’s vision and mission.
He/she supports the organisation in establishing relations with various stakeholders by promoting volunteerism to MENDAKI. The job holder will create and implement recruitment, engagement and recognition strategies to attract, manage and retain the volunteers. He/She will be the point-person for MENDAKI volunteers.
He/She is expected to work from between 8:30 a.m. to 6:00 p.m. on weekdays and may be required to work over weekends and public holidays to support in the events MENDAKI manages or participates in. Although he/she is largely expected to work in an indoor environment, he/she is also expected to travel frequently for meetings.
Key Responsibility Areas
Volunteer Management
- Support the Manager and Team Lead in the implementation and execution of the Volunteers Management and Competency Framework
- Implement the action plans developed to attract individuals and corporate partners to volunteer with MENDAKI.
- Management of volunteers includes:
- identifying potential volunteer recruitment sources
- marketing and publicising to recruit and retain the volunteers
- arranging training sessions to equip the volunteers with the knowledge to perform their roles
- helping the Manager to develop and implement an effective volunteer engagement plan
- engaging the volunteers to ensure their well-being is looked after, to establish and maintain a strong volunteer-MENDAKI relationship
- creating opportunities to develop and keep the volunteers engaged
- building an environment of recognition and support for volunteers and rewarding them based on the set criteria.
- supporting the Manager in identifying key metrics to track and determine improvement areas for volunteer programmes and processes
- Work closely with the other departments to encourage the recipients to be volunteers.
- Support the Manager and Team Lead as one of the points of contact with new and existing stakeholders and connect them with relevant departments to further the relationship.
Financial Planning and Management
- Implement the department workplans and achieve the targets set, including budget requirements.
- Assist in the department’s forecasting and budgeting activities and ensure proper and effective utilisation of department resources including budget.
Administrative
- Support the Manager and Team Lead in both external and internal meetings.
- Generate reports to support monthly progress updates to management.
- Maintain the database of stakeholders with a focus on volunteers
- Any other duties as assigned by the Manager and HOD.
Requirements
- At least 2 years of relevant professional experience preferred.
- Degree in Arts/ Communications/ Marketing/ Public Relations or other relevant disciplines.
- Prior experience in volunteer management is an added advantage.
- Strong interpersonal skills and ability to manage stakeholders across different levels.
