Job Purpose

Operational Processes

  • Assist and support the Bed Management Unit (BMU) to plan, coordinate and provide efficient and clinically appropriate ward placement of all patients entering or transferring within the Woodlands Health Campus Hospital.
  • To work with relevant stakeholders on the management of bed capacity based on operational needs
  • Co-manage a group of Associate Executives
  • Cover the role of Associate Executives during manpower constraints

Data Analysis

  • Generate and submit data to MOH or stakeholders
  • Co-support the department in the application of analytical and statistical knowledge in deployment of tools to transform data into insights to facilitate decision making, leading to the achievement of Woodlands Health’s long term vision in providing effective and efficient healthcare services to the population

Main Duties & Responsibilities

Specific

  • Assist in the development and improvement of workflows and processes in BMU
  • Assist in the improvement of algorithm for bed allocation based on hospital’s clinical segmentation and patients’ requirements
  • Assist in the bed assignment operations for patients admitted through ED, Clinics or for scheduled operations
  • Perform bed allocation duties and assign beds in accordance to the hospital guidelines
  • Coordinate patient movement with wards and other departments
  • Identify potential bed tight situation and activate bed tight measures
  • Manage the bed capacity for the campus and to highlight to reporting officers when needed
  • Laise with other hospitals for direct admission, when required
  • Handle bed enquiries and respond to or follow up on bed/transfer requests
  • Optimise manpower utilisation through effective rostering
  • Coordinate OJT programs for new staff by identifying training needs, plan and organise programs and schedules, continuously evaluate and monitor staff progress, initiate reviews/feedback session
  • Assist to develop training materials and provide training to frontline staff in the areas of bed allocation in accordance to guidelines
  • Work with stakeholders within the organisation, external healthcare institutions (within or outside NHG Cluster) and external entities to explore and identify opportunities to leverage on data to drive improvement workflow/project
  • Applied Data Analytics and Operations Research knowledge to transform data into insights to drive optimization and improvement of business strategies
  • Generate and valid data from EPIC and submit data to MOH or stakeholders

General

  • Provide secretariat support to divisional/departmental meeting, committees, taskforce and workgroup meetings as required
  • Provide support in other WH-related projects and tasks

Requirements

  • Degree in any discipline with 2 years working experience preferred, preferably in BMU, in an operations or service background
  • Experience in healthcare operations preferred
  • Possess ability to plan, organize, supervise and execute plans
  • Analytical and innovative thinker
  • Service-oriented with good interpersonal and communication skills
  • Good team player and ability to manage relationships (internal and external)
  • Ability to work independently and also in a team
  • Proficient in MS office (Excel, Powerpoint, Word)
