A leading recruitment firm in Singapore is looking for a Sales Coordinator. The role involves handling administrative tasks, maintaining customer portal data, and coordinating shipments. Suitable candidates should have 1 to 2 years of experience in sales coordination, proficiency in Microsoft tools, and a basic understanding of internal audit controls. This position is vital for ensuring smooth operational processes and communication with HQ in Japan.

Qualifications

  • 1 to 2 years of experience as a Sales Coordinator.
  • Comfortable with learning and using customer online portals and vendor systems.
  • Basic understanding of internal audit control and documentation procedures.

Responsibilities

  • Handle all administrative tasks, including quotations and purchase orders.
  • Upload and maintain data on customer portal systems.
  • Support internal processes by preparing documents and tracking findings.
  • Maintain records and filing of project-related information.
  • Coordinate shipments, creating and tracking delivery orders.
  • Monitor shipment status with logistics team and forwarders.
  • Coordinate with Japan HQ for orders.
  • Match discrepancies in forecasts and documents.
  • Follow up on customer POs and actions required.
  • Issue DPR, follow up and arrange POs.

  • Upload and maintain data on customer portal systems, such as inventory control systems.
  • Support internal processes by preparing documents and tracking findings.
  • Maintain records and filing of project or order-related information.
  • Coordinate shipments, including creating and tracking delivery orders and invoices in our internal system.
  • Monitor shipment status with the logistics team and forwarders.
  • Proactively coordinate with Japan HQ for orders.
  • Match discrepancies in "Forecast - Quotation - PO - Machine spec - Doc2 (Purchase spec)".
  • Follow up on customer POs and actions required from meetings.
  • Issue DPR, follow up, arrange PO, and coordinate shipment.
Requirements
  • 1 to 2 years of experience as a Sales Coordinator.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Comfortable with learning and using customer online portals and vendor systems.
  • Basic understanding of internal audit control and documentation procedures.
