Key Responsibilities
1. Quality Assurance & Process Compliance
- Review and ensure all FM processes, SOPs, workflows, and checklists comply with ISO standards, client requirements, and industry best practices.
- Validate that operational activities align with approved procedures and the QMS framework.
- Assist in the preparation, implementation, and improvement of quality assurance policies and guidelines.
2. QMS Support & Continuous Improvement
- Participate in QMS reviews, gap analysis, and process enhancement initiatives.
- Coordinate change management for document revisions, version control, and procedural updates.
3. Audit & Compliance Monitoring
- Assist in planning and conducting internal audits, compliance assessments, and vendor audits.
- Track audit findings, NCRs, and corrective/preventive actions (CAPA) to ensure timely closure.
- Verify vendor service reports, statutory compliance certificates, and maintenance documentation.
4. Data Validation & Performance Monitoring
- Analyze FM performance metrics such as PPM completion, incident response times, SLA compliance, energy consumption, downtime, and operational trends.
- Validate accuracy of CMMS/CAFM entries, inspection logs, permit-to-work records, and maintenance data.
- Prepare QA dashboards and reports for management and clients.
5. Vendor & Contractor Assurance
- Ensure vendor processes, method statements, competencies, and documentation meet QA expectations before work execution.
- Conduct random checks to ensure alignment to contract specifications and safety requirements.
- Review and ensure close-out of service reports, service quality issues, and material compliance.
6. Incident & Risk Governance
- Support root cause analysis for incidents, faults, and non-conformances.
- Track incident trends and recommend preventive measures.
- Maintain accurate records for incident reports, near-miss logs, and risk registers.
7. Documentation & Reporting
- Maintain QA records, audit logs, compliance matrices, risk logs, and QMS documents.
- Prepare weekly/monthly QA reports highlighting issues, recurring gaps, audit results, and corrective actions.
- Ensure documentation readiness for client audits, certification audits, and regulatory inspections.
Requirements
Qualifications
- Diploma in Mechanical, Electrical, Facilities Management, Quality, or related engineering disciplines.
- ISO 9001 Internal Auditor or Lead Auditor certificate is an advantage.
Experience
- 1 - 3 years of experience in FM, building services, QA/QC, industrial operations, or critical infrastructure.

- Effective communicator with technicians, engineers, vendors, and clients.
