About the Job
This role provides operational, administrative, and coordination support for programme registration, data management, inventory tracking, and general office administration. You will support daily processes to ensure smooth programme delivery and accurate reporting.
Key Responsibilities
Programme & Account Registration Management
- Manage programme and system accounts, including creation, updates and verification.
- Handle booking and scheduling tasks with internal teams and external partners.
- Update information across relevant system platforms (e.g., programme portals, internal databases).
- Administer programme rewards, reimbursements, and approval workflows.
Data Verification & Entry
- Extract, verify, and validate data for reporting purposes.
- Perform data entry, consolidation, and preparation of templates.
- Verify applications, submissions, and supporting documents based on established SOPs.
Inventory Management
- Monitor and manage inventory levels, including assets, programme materials, and supplies.
- Track deliveries to partners, vendors, and internal teams.
- Conduct replenishment, stock-taking, and coordinate procurement of office stationery.
UAT Support
- Conduct user acceptance testing (UAT) based on provided test cases.
- Record test results, elevate issues, and support system validation activities.
Administrative & Secretariat Support
- Assist with formatting, editing, and preparation of documents.
- Schedule meetings, track follow-ups, and support secretariat functions.
- Manage courier services, incoming/outgoing mail, and internal distribution.
- Monitor and track in-office printer usage, meter readings, and service requests.
Requirements
- ITE / Diploma / Degree in any discipline.
- Prior experience in administrative, operations, programme coordination, or data‑related roles is an advantage.
- Comfortable working with digital systems, online platforms, and reporting templates.
- Strong attention to detail with good organisational and time‑management skills.
- Ability to handle multiple tasks independently and collaborate with different stakeholders.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Willingness to learn and adapt to evolving processes and requirements.
