Job description
Main Responsibilities
  1. Provide comprehensive support to company CEO to ensure the smooth operation of his daily work and efficient coordination of executive affairs.
  2. Manage the CEO's overall schedule, including arranging internal / external meetings, business trips (flight / hotel booking, itinerary planning), and personal key appointments. Resolve schedule conflicts proactively and prioritize tasks based on urgency and importance.
  3. Coordinate meeting preparations, such as reserving meeting room, preparing materials (presentations, reports), arranging attendees, taking meeting minutes, and tracking the follow-up of assigned action items.
  4. Assist with daily administrative work, such as coordinating administrative services, claims, drafting reports, collecting and filing data, and following up on task progress to provide timely updates.
  5. Serve as the primary communication bridge between the CEO and internal departments as well as external stakeholders. Relay information accurately and track feedback progress.
  6. Assist the CEO in tracking the progress of key company projects. Collect updates from relevant teams and report to the CEO regularly.
  7. Maintain strict confidentiality of sensitive information accessed during work, including the CEO's personal data, company strategic plans, financial reports, and sensitive business negotiations.
  8. Follow up on the CEO's assigned tasks to ensure timely completion.
Job Requirements
  1. Hold a bachelor's degree or above, with majors in Secretarial Science, Business Administration, English, or related fields being preferred.
  2. Have at least 5 years of work experience as a PA or admin support, with experience in large enterprises or the same industry as the company being a significant advantage.
  3. Proficient in using Microsoft Office / WPS (Word, Excel, PowerPoint) for document editing, data sorting, and presentation making. Familiarity with calendar management tools and video conferencing software is required.
  4. Have basic knowledge of corporate management, finance, and legal affairs.
  5. Excellent verbal and written communication skills. Be able to coordinate effectively with internal departments and external parties.
  6. Be proactive in identifying and solving problems.
