Job Description
The Operation Executive is responsible for coordinating daily operations, manpower deployment, site support, and operational reporting to ensure smooth execution of projects and service delivery. The role works closely with Operations, HR, Finance, and Sales teams to ensure efficiency, compliance, and timely completion of operational tasks.
Key Responsibilities
1. Daily Operations & Site Coordination
- Coordinate daily manpower deployment to project sites.
- Liaise with site supervisors, technicians, and subcontractors on work schedules and requirements.
- Ensure workers report to the correct site on time and perform assigned duties.
- Support Operations Manager in handling ad-hoc operational matters.
2. Manpower & Workforce Management
- Track worker attendance, overtime, off-in-lieu (OIL), MC, and leave records.
- Coordinate worker movement between sites and dormitories.
- Assist HR in onboarding, deployment changes, and termination-related operational arrangements.
- Monitor worker discipline issues (MIA, late reporting, site non-compliance).
3. Reporting & Documentation
- Prepare and submit daily / weekly operational reports.
- Support preparation of monthly manpower, deployment, and utilisation reports.
- Maintain proper records for Job Completion Forms (JCF), site logs, and operational documents.
- Ensure accurate and timely submission of required documents to Finance and HR.
4. Compliance & Site Discipline
- Ensure workers comply with site rules, safety requirements, and customer instructions.
- Coordinate response to incidents, complaints, or site issues.
- Assist in internal audits, MOM inspections, or customer checks where required.
5. Coordination with Internal Departments
- Work closely with Sales on job scheduling and manpower requirements.
- Coordinate with Finance on billing support documents (JCF, site confirmation).
- Liaise with HR on dormitory, leave, and disciplinary matters.
- Support Management with operational planning and execution.
6. Inventory & Asset Support (if applicable)
- Track issuance and return of company assets (PPE, safety shoes, T-shirts, tools).
- Support basic inventory control and reporting.
Requirements
- Minimum 1–3 years of operations experience, preferably in construction, engineering, or facilities management.
- Familiar with manpower deployment and site coordination.
- Good communication and coordination skills.
- Able to handle fast-paced and changing operational requirements.
- Basic proficiency in Microsoft Excel and reporting.
- Strong sense of responsibility, discipline, and follow-up.
